Job Description

Our client is seeking to recruit a highly organized and detail-oriented Bookkeeper / Accountant to manage the day-to-day financial administration and operational record-keeping of the business. The successful candidate will play a key role in ensuring accurate financial records, efficient customer and supplier management, inventory control, and compliance with food safety documentation requirements.

Responsibilities:

Accounts Receivable & Customer Administration:
  • Create and issue daily invoices, delivery notes, and credit notes where required.
  • Maintain accurate customer records and account balances.
  • Prepare and distribute monthly statements of account to customers.
  • Follow up on outstanding payments and actively manage debtor collections.
  • Resolve customer account queries in a professional and timely manner.

Accounts Payable & Supplier Management:
  • Process supplier invoices and load supplier bills onto the Odoo Accounting System.
  • Prepare and load supplier payments for approval.
  • Reconcile supplier accounts and resolve discrepancies.
  • Order supplies and consumables according to business requirements and stock levels.
  • Maintain strong relationships with suppliers to ensure uninterrupted supply.

Financial Administration:
  • Maintain accurate accounting records and supporting documentation.
  • Complete and update cheque books and cash books.
  • Assist with monthly account reconciliations and financial reporting.
  • Ensure all financial transactions are accurately recorded and filed.

Inventory & Operations Support:
  • Monitor packaging material stock levels and coordinate replenishment when required.
  • Conduct monthly stock takes of packaging materials and maintain accurate inventory records.
  • Record daily mushroom picking quantities and production data.
  • Assist with inventory tracking and operational reporting.

Logistics & Production Oversight:
  • Oversee morning loading activities to ensure customer orders are correctly prepared and dispatched.
  • Coordinate with drivers and production staff to ensure timely deliveries.
  • Verify delivery documentation and loading accuracy.

HACCP & Compliance Administration:
  • Manage and maintain HACCP documentation and records.
  • Ensure all food safety and quality assurance documentation is completed accurately and on time.
  • Support compliance with internal procedures and regulatory requirements.


Profile:

  • Certificate, Diploma, or Degree in Accounting, Bookkeeping, Finance, or a related field.
  • Minimum 3-5 years' experience in bookkeeping, accounting, or financial administration.
  • Experience with Odoo Accounting System or similar ERP/accounting software will be advantageous.
  • Proficiency in Microsoft Excel and Microsoft Office Suite.
  • Experience in agriculture, farming, manufacturing, or food production environments is beneficial.
