Job Description
Key Responsibilities
- Coordinate
directly with suppliers to follow up sourcing projects initiate by the
Hong Kong office. Typical tasks
will be following up and consolidation of proposals from multiple
suppliers, samples, production schedules and documentation requirements.
- Monitor supplier
performance on deliverables and escalate delays, risks, or quality
concerns to the line manager and markets as necessary.
- Ensure suppliers
have clear product specifications, including regional specifications and
compliance (technical and labelling) and timelines.
- Attend weekly meetings
with all key stakeholders to provide clear and concise status on sourcing
projects.
- Develop and
implement process to track orders from the demand phase, purchase orders,
production progress and shipment readiness.
- Maintain up‑to‑date
sourcing and order status reports.
- Ensure timely
communication of changes, delays, or issues to internal teams across the 3
markets.
- Work with teams
across three markets, including merchandising, logistics, finance and
quality assurance.
- Travel to supplier
locations, trade shows and meetings as required to support sourcing
activities.
- Support
communication flow to ensure smooth coordination between teams and
suppliers.
- Assist with
preparing documents and reports needed by stakeholders.
- Maintain accurate
records—supplier information, pricing, contracts and samples.
- Prepare weekly and
monthly sourcing reports for management.
- Update systems,
databases, and tracking tools with accurate, timely information.
- Assist in
collecting quotes, comparing prices, and preparing cost analysis
summaries.
- Monitor market and
supplier capacity updates under the guidance of the line manager.
- Support process
improvements aimed at enhancing visibility and efficiency for all
stakeholders.
Other Requisites
- Diploma or
Bachelor’s degree in Supply Chain, Procurement, Business Administration,
or related field.
- 3 years of
experience in sourcing, procurement, merchandising, or related
coordination roles (global experience is an advantage).
- Strong negotiation
and communication skills in English and French; Chinese languages are
beneficial.
- Proficiency in MS
Office (Excel, Outlook, PowerPoint).
- Familiarity with
ERP or procurement systems is an advantage.
- Ability to manage
tasks across time zones and work independently with remote supervision.
- Willingness and ability to travel as required (locally and/or internationally).
- Organised and
detail‑oriented.
- Strong
interpersonal and relationship‑management skills.
- Proactive,
reliable, and able to multitask effectively.
- Good problem‑solving
and follow‑up abilities.
- Comfortable
working in a fast‑paced, global environment.
- Flexibility to
adapt to changing priorities and work under pressure.
