Job Description
Mission:
We are seeking a highly organized, proactive, Secretary to the Director to provide comprehensive administrative and secretarial support. The role requires strong organizational skills, excellent communication, confidentiality, and the ability to manage multiple priorities in a fast-paced environment. The secretary will act as a key point of coordination between the Director, internal teams, external stakeholders, and visitors while ensuring the smooth day-to-day management of administrative operations.
Responsibilities:
1.
Executive Support
· Manage the Director’s calendar, appointments, meetings, and travel arrangements. Organize and coordinate internal and external meetings, including preparation of agendas, meeting packs, minutes, and follow-up actions.
· Prepare
documents and files required for meetings.
· Follow
up on action plans and deadlines assigned by Management.
· Screen
and prioritize communications and information.
· Handle sensitive and confidential information with the highest level of professionalism and discretion.
2. Coordination and Communication
· Act as
the first point of contact for the Director with employees, clients, suppliers,
and external stakeholders.
· Liaise
with departments to follow up on pending actions and ensure deadlines are met.
· Coordinate
visits, events, and meetings involving the Director.
· Ensure effective communication and information flow between the Director and relevant teams.
Profile:
· Diploma
or Degree in Secretarial Studies, Business Administration, Office Management,
or related field.
· Minimum
3–5 years’ experience in an executive assistant, secretary, or
administrative support role.
· Experience
supporting senior management or directors is highly preferred. Proficiency in
Microsoft Office tools (Word, Excel, PowerPoint, Outlook).
· Strong
written and verbal communication skills.
· Attention
to detail and strong organizational skills.
· Proactive
and autonomous.
· Ability to work independently and proactively.
Working hours:
· 08h30
to 17h00
· May
occasionally be required to work beyond normal working hours depending on
Management’s needs.
