Job Description
Key / Primary Responsibilities
1. Event Planning Support
- Assist in the preparation and maintenance of event plans,
timelines, run sheets, and operational checklists.
- Support the Events Team in coordinating event requirements from
planning through to execution.
2. Logistics Coordination
- Assist in coordinating event logistics, including
transportation, catering, equipment, venue setup, and breakdown.
- Ensure all point-of-sale materials, branding assets, and
signage are prepared, delivered, and installed on time.
3. Vendor & Partner Communication
- Liaise with vendors, suppliers, and service providers to
confirm bookings and support smooth delivery of services.
- Act as a key point of contact for guests, suppliers, and staff
during event execution.
4. Administrative Support
- Maintain accurate and up-to-date event documentation, including
internal invoices, purchase records, and external client payments.
- Support payroll coordination for internal and external event
staff when required.
- Respond to internal and external queries within 48 hours.
- Ensure all events are correctly registered and booked through
the designated Google Form system.
5. Post-Event Follow-Up
- Assist in collecting feedback from clients, guests, and
stakeholders following events.
- Support the preparation of post-event reports and evaluations.
- Contribute to identifying learnings and improvements for future
events.
6. On-Site Event Support & Team
Collaboration
- Provide hands-on support during events, including setup,
coordination, and troubleshooting.
- Work closely with the Events and Delivery Teams to ensure
smooth execution aligned with brand standards and objectives.
- Be available to support events outside of standard working
hours when required.
Requirements – Education, Experience
& Skills
- Degree or diploma in Events Management, Hospitality Management,
Marketing, or a related field.
- Some previous exposure to events, hospitality, or coordination
roles is advantageous (internships included).
- Strong organizational and time management skills with the
ability to manage multiple tasks.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint,
Outlook).
- Ability to work independently, take initiative, and meet
deadlines.
- Positive, proactive, and solution-oriented mindset.
- Strong interpersonal skills and a willingness to engage with
clients, suppliers, and teams.
- Creative mindset with an interest in contributing ideas to
event concepts and execution.
Additional Requirements
- A valid driving licence is mandatory.
- Access to a personal vehicle is strongly preferred (due
to event logistics and transport requirements).
- Willingness to work outside of standard business hours,
including evenings, weekends, and public holidays when events take place.
- Time off in lieu (TOIL) will be granted for approved
additional hours worked.
- Must be comfortable working in a fast-paced, operational, and
sometimes physically active environment.
