JOB SUMMARY

The Administrative Assistant provides comprehensive administrative and clerical support to the Company Secretariat department, ensuring the efficient and timely execution of daily operations.


DUTIES AND RESPOSIBILITIES

Administrative Support  

·        Provide day-to-day administrative support to the Company Secretariat department.

·        Prepare, format, proofread and manage internal and external correspondence, reports, and presentations.

·        Handle incoming communications (emails, calls, mail) and ensure appropriate follow-up.

 

Board & Committee Support       

·        Assist in the coordination and organisation of board, committee, and internal meetings.

·        Assist in the follow-up of action points.

 

Records & Filing Management    

·        Maintain and regularly update statutory records, company registers, and secretarial files.

·        Ensure proper filing, indexing, and retrieval of documents in both physical and electronic formats.

·        Support the safekeeping of confidential and sensitive company information in line with internal policies.

 

Coordination & Liaison  

·        Act as a point of contact between the Company Secretariat department and internal/external stakeholders.

·        Assist in coordinating schedules, appointments, and diary management for the department.

·        Follow up on requests and ensure timely responses and delivery of required information.

 

Compliance & General Support  

·        Assist in ensuring that documentation and records are maintained in line with statutory and regulatory requirements.

·        Support audits or internal reviews by retrieving and organising required documentation.

·        Perform any other administrative or secretarial duties as assigned by the Company Secretary or Management.


QUALIFICATIONS

·        A Degree level from a recognized institute.

·        At least 1-2 years of related/ relevant experience.

 

REQUIRED SKILLS

·        Integrity and confidentiality.

·        Computer literate with good administrative planning skills.

·        Ability to communicate effectively both verbally and in writing

·        Ability to follow oral and written instructions.

·        Ability to operate standard office equipment.

·        Attention to details.

·        Good personal and problem-solving skills.
