Job Description

Play an active role in the team
Keep his superior informed about all unusual matters concerning any plans affecting his/her area
Meet and greets visitors at all levels of seniority
 
Establish and maintain effective employee relations
Prepare requisitions of non-stock items (office amenities….)
Compile KPIs report for all HODs as and when necessary
Prepare gift voucher and stock request (stationeries) on WinHms system

Draft, prepare and process a variety of documents, including letters, presentations, minutes of meetings and statistical reports
Proactively filter, respond to and follow through on all queries and calls as well as open, sort and distribute emails as/when required
Forward GSQ to relevant department and does follow up accordingly
Proactively schedule and manage the HM’s agenda
Devise and maintain office systems, including data management, accurate and confidential filing, etc…
Screening telephone calls, enquiries and requests and handling them when appropriate
Arrange travel and accommodation of managers whenever necessary
Organize and attending meetings and ensuring the manager is well prepared for meetings
Provide general assistance during presentations
Input duty Roster for HODs on system and update if necessary
Organize and storing paperwork, documents and computer based information
Attend and monitor requests for offers/sponsorships of hotel
Coordinate events, prepare invitations, follow up and liaise with Security for access purposes as and when required
Comply with all the sustainability commitments and practices implemented within business units
Notify the Sustainable Development Department of any matters that may pose any impact to the environment and society
