Job Description

  • Help to maintain the Back Office system, keeping suppliers’ products, categories and prices up to date.
  • Ensure that all requisitions are correctly prepared and marked with the department which the goods are for – that they are dated and signed for by an authorised person.
  • Ensure that all invoices are married up with purchase orders and that quantity and pricing is checked for accuracy.
  • Ensure products are properly received, inspected and stored. 
  • Ensure that food and perishable items are delivered when necessary.
  • Maintain bin cards and to report any slow moving items to the General Manager or/and purchasing officer.
  • Ensure that all stores are correctly rotated and issued in sequence.
  • Assist with monthly physical stock count activities as required.
  • Carry out weekly spot checks on store items.
  • Report any discrepancies of goods against Purchase Order.
  • Notify Head of Departments and Accountant of obsolete and out of date stock.
  • Maximise use of storage space available.
  • Maintain up to date storeroom plans and records.
  • Conduct regular inspections on the conditions of dry store, beverage store, and refrigerated/frozen stores with regards to food safety (temperature, first in first out, expired items, storage, labelling, and traceability.
  • Ensure all food safety measures are followed by the staff. 
  • Ensure that store items are properly stacked, tagged and traceability system follow up.
  • Ensure that Health and Safety practises are maintained at all times including manual handling and stacking items.
  • Ensure cleanliness and tidiness of all stores.
  • Tackle any operation problems arising.
  • Follow up on any maintenance issues arising in the store.
  • Ensure security of stores areas is maintained and that key control system is maintained and that keys are returned to security when not in use.
  • Be flexible in assisting colleagues with tasks.
  • Aware of all Health, Safety and Fire regulations and to abide by their terms
  • Ensure that members of the team are aware of Health, Safety & Fire regulations and that they too abide by their terms
  • Report any incidents and accidents related to operations
  • Take care in work to avoid accidents
  • Withdraw any unsafe product
