Job Description

Role Purpose 

The Vehicle Stock, Parts & Workshop Officer will be responsible for the accounting and control of vehicle floorplan/stock financing, parts inventory valuation, and workshop job costing, as well as recovery of OEM warranty claims. This is a newly created role supporting the Finance Manager and Assistant Finance Manager in strengthening financial control over the Group's core operational assets. 

Key Responsibilities 

  • Maintain accurate accounting for vehicle stock under floorplan/stock financing arrangements, including interest and facility tracking 
  • Perform regular reconciliations between physical vehicle stock, dealer management system records and general ledger 
  • Value and account for spare parts inventory, including periodic reviews for slow-moving and obsolete stock 
  • Review and cost workshop job cards, ensuring accurate allocation of parts, labour and overheads 
  • Prepare and submit OEM warranty claims, tracking recovery and following up on outstanding claims 
  • Analyse gross margins on vehicle sales, parts sales and workshop labour, highlighting variances 
  • Support month-end close with stock valuation journals and accruals 
  • Liaise with sales, workshop and parts departments to ensure accurate and timely stock data 

Requirements & Qualifications 

  • Minimum ACCA Level 2 or a Diploma in Accounting & Finance 
  • Minimum 2 years' relevant experience, ideally in vehicle dealership, automotive or dealership floorplan accounting 
  • Experience with dealer management systems (DMS) and inventory/stock accounting 
  • Sound understanding of floorplan/stock financing arrangements 
  • Strong Excel skills; experience with ERP/accounting systems

  • Good understanding of cost accounting principles 
  • Proactive in identifying and resolving stock or costing discrepancies 
  • Able to work to month-end deadlines under pressure
