Job Description
What you will be doing:
- Lead the day-to-day administrative and operational activities of the clinic.
- Coordinate with dentists, dental assistants, reception teams, laboratories, suppliers, and support departments.
- Ensure appropriate staffing, resources, equipment, and supplies are available to support smooth clinic operations.
- Monitor clinic KPIs, including revenue, patient volumes, chair utilisation, treatment acceptance, cancellations, no-shows, and patient satisfaction.
- Analyse clinic performance and implement initiatives to improve productivity, patient experience, and revenue.
- Monitor revenue and operational performance against budgets and targets.
- Support workforce planning, staff scheduling, attendance, leave management, recruitment, onboarding, and performance management.
- Lead regulatory licensing, inspections, audits, compliance requirements, and follow-up actions.
- Ensure compliance with healthcare, health and safety, infection control, and quality standards.
- Oversee patient records, clinical documentation, treatment plans, consents, and laboratory case tracking.
- Manage procurement, inventory, equipment, supplies, and stock levels.
- Oversee financial controls, revenue reconciliation, expenses, refunds, and petty cash.
- Manage patient feedback and complaints and ensure timely resolution and service recovery.
- Coordinate facilities, equipment maintenance, and infrastructure requirements.
- Prepare operational and financial reports and provide management with relevant insights and recommendations.
- Ensure the clinic is properly maintained, organised, and secured at the end of each working day.
What are we looking for?
- Degree or diploma in Healthcare Administration, Business Administration, Management, or a related field.
- Proven experience in clinic, healthcare, dental practice, hospital, or similar operational management.
- Previous experience in a supervisory or team leadership role.
- Strong experience in clinic administration and operational management.
- Experience in regulatory compliance, licensing, audits, and healthcare standards.
- Strong leadership and team management skills.
- Excellent organisational, planning, and time-management skills.
- Strong analytical, problem-solving, and decision-making abilities.
- Excellent communication and interpersonal skills.
