Role Purpose
The Time & Attendance Administrator is responsible for maintaining accurate workforce scheduling and attendance records within the Timegate Plus system. The role ensures all ad hoc shift changes are processed efficiently and accurately, helping to maintain operational continuity and service delivery.
The role also has responsibility for monitoring attendance activity and proactively notifying both operational teams and customers of any missed book-ons, ensuring that service risks are identified and managed promptly.
Key Responsibilities
Time & Attendance Administration
- Process and maintain all ad hoc shift changes within the Timegate Plus system.
- Ensure schedule amendments are accurately updated and completed within agreed timescales.
- Verify and maintain the accuracy of employee attendance and scheduling records.
- Monitor workforce schedules and identify any discrepancies or conflicts.
- Respond to requests from operational teams relating to shift changes, attendance records, and system updates.
- Ensure all updates are recorded in accordance with company policies and procedures.
- Support the effective management of workforce scheduling through accurate administration and data maintenance.
Missed Book-On Management
- Monitor attendance systems for missed book-ons and attendance exceptions.
- Notify relevant operational teams immediately when a missed book-on is identified.
- Communicate missed book-ons and service-impacting attendance issues to customers in a professional and timely manner.
- Escalate unresolved attendance issues in line with established procedures.
- Maintain clear and accurate records of all actions taken, communications sent, and outcomes achieved.
Reporting and Compliance
- Produce attendance and scheduling reports as required.
- Ensure all attendance records are maintained accurately and securely.
- Support audits and compliance checks relating to workforce attendance and scheduling.
- Ensure adherence to company policies, contractual obligations, and customer requirements.
- Identify opportunities to improve attendance and scheduling processes.

- Previous experience in an administrative, scheduling, workforce management, helpdesk, or time and attendance role.
- Experience using workforce management, rostering, or attendance management systems.
- Experience communicating with both internal stakeholders and external customers.
- Proven ability to manage high volumes of work while maintaining accuracy and attention to detail.
- Experience working within service-driven or operational environments.
Desirable
- Experience using Timegate Plus.
- Experience within facilities management, security, customer service, contact centre, or operational support environments.
- Experience producing attendance and workforce reports.
- Understanding of workforce planning and scheduling principles.

Hours of Work
Hours will be determined in line with business requirements and operational coverage needs and will require weekend work on a rotational basis paid at the appropriate rate.
