Job Description
Job Title: Operations Associate Department: Operations Location: MauritiusReports to: Chief Operating Officer (COO) Job Summary: The Operations Associate is responsible for executing and supporting the full lifecycle of operational processes related to client onboarding, due diligence, periodic reviews, and trade execution in compliance with the Dubai Financial Services Authority (DFSA) regulatory framework. The role requires close collaboration with the Front Office, Compliance and external custodians to ensure that all activities adhere to internal policies and applicable regulatory standards, particularly those under the DFSA’s Conduct of Business (COB) and Anti-Money Laundering (AML) rules. Key Responsibilities: Client Onboarding & Documentation
•
Manage end-to-end onboarding processes for high-net-worth individuals andinstitutional clients, ensuring a smooth and timely onboarding experience.
•
Review and validate KYC documentation in line with internal policies and DFSArequirements.
•
Coordinate with Relationship Managers (RMs) and Compliance to addressdocumentation deficiencies or queries.
•
Facilitate account openings with external custodians and maintain accurate and up-to-date records in the client register and Client Relationship Management system.
Periodic Reviews & Ongoing Monitoring
•
Assist Front Office & Compliance in conducting periodic reviews as per DFSAtimelines, including KYC refresh and customer profile updates.
•
Ensure all updates from periodic reviews are reflected in the CRM and client records.
•
Escalate delays in reviews or document updates to the Head of Operations andCompliance.
Order Management
•
Validate client account balances and available margin prior to trade execution.
•
Confirm trade suitability and client order confirmation via registered communicationchannels.
•
Liaise with custodians or aggregators to place orders and verify execution terms.
•
Share final trade confirmations with clients and MIS team; ensure proper storage oftrade records and term sheets, including applicable fee disclosures.
Regulatory Compliance & Recordkeeping
•
Ensure all onboarding and operational procedures comply with DFSA regulations.
•
Maintain comprehensive records to support internal controls, regulatory reporting,and DFSA inspections.
•
Assist in internal/external audits, governance reviews, and implement correctivemeasures as advised.
Management Information Systems (MIS) & Reporting
•
Maintain client master records and ensure accuracy across all internal systems.
•
Track and report key metrics including fee income, trade volumes, onboardingpipeline, and high-risk client logs.
•
Assist in preparing reports for management, compliance, and regulatory review.
Candidate Profile
Education
Minimum bachelor’s degree in law, Finance, Accounting, Business Administration,
Economics, or a related field from a recognised institution.
Experience
Minimum 2 years of experience in KYC, AML, client onboarding, or client administration
within a management company, fund administrator, trust company, or financial services
firm.
