Job Description

Our client, a Property Management Company, is recruiting a proactive and highly organised Facilities & Property Administration Coordinator to support the day-to-day administration of our property portfolio.

The successful candidate will oversee property and facilities administration, coordinate the Conciergerie function, organise tenant engagement activities and events, and ensure excellent customer service across our commercial properties.

Key Responsibilities

  • Coordinate property and facilities administration across the portfolio.
  • Maintain and monitor all property administration records, lease schedules, occupancy trackers and reporting in both the ERP/Property Management system and Excel, ensuring data accuracy and integrity.
  • Process leases, contracts, invoices, purchase orders and other transactions through the ERP/Property Management system.
  • Coordinate tenant onboarding, renewals and customer communications.
  • Oversee the administration of the Conciergerie and Reception functions to ensure a high level of customer service.
  • Organise tenant events, engagement initiatives and customer satisfaction surveys.
  • Coorfinate supplier onboarding, monitor supplier performance against agreed KPIs and SLAs, coordinate periodic supplier evaluations, support contract renewals and continuous service improvements.
  • Prepare monthly reports, dashboards and management information.
  • Support budgeting, procurement, invoice administration and compliance activities.

Qualification

  • High school diploma and certifications in Property Management, Facilities Management, Business Administration, or a related field.
  • Minimum of 3 years of experience in property, facilities or office administration
  • Hands-on experience using an ERP/Property Management system and maintaining operational trackers and reports in Excel.
  • Strong proficiency in Microsoft Excel (data management, reporting and analysis).
  • Excellent organisational, communication and customer service skills.
  • Customer-oriented mindset with the ability to interact professionally with clients, service providers, and internal teams
  • Experience in event coordination and stakeholder management would be an advantage
