Job Description
MUA is seeking a highly organised, detail-oriented and proactive Legal Coordinator to join our Legal Department. This role will provide comprehensive coordination and support across litigation, recoveries, legal matters, contracts, legal research, external counsel and legal records management. The Legal Coordinator will work closely with the Legal Manager, external attorneys and barristers, as well as key internal stakeholders across Claims, Underwriting, Finance, Procurement, HR, Compliance and other business functions. The ideal candidate will bring strong legal research and drafting skills, excellent organisational and follow-up capabilities, and the ability to manage multiple matters, deadlines and stakeholders with discretion and professionalism. Main Responsibilities
• Maintain and regularly update litigation, dispute and recovery registers, ensuring that court dates, deadlines, filings and outstanding actions are closely monitored.
• Coordinate with attorneys, barristers and other external counsel on documentation, hearings, case updates and legal invoices.
• Receive, circulate, track and maintain summonses, pleadings, judgments and other court documentation.
• Prepare chronologies, document bundles, factual summaries and briefing notes to support legal matters.
• Attend courts, registries, police stations and public authorities where required for the filing or collection of documents.
• Track recovery proceedings, settlements, judgments and amounts recovered.
• Maintain a central register of all matters referred to the Legal Department, including status, responsible person, deadlines and next steps.
• Maintain the Department’s contract register and monitor expiry, renewal and notice periods.
• Coordinate with business units to obtain documents, instructions, approvals and signatures.
• Ensure executed agreements, amendments and other legal documents are properly retained and accessible.
• Maintain standard agreements, clauses, templates and legal checklists.
• Conduct legal research into legislation, regulations and case law under the supervision of the Legal Manager.
• Prepare research notes, chronologies and factual summaries.
• Assist in preparing first drafts of routine legal correspondence, letters, notices, addenda, confidentiality agreements and internal legal notes.
• Compare contractual and policy wordings and identify material differences.
• Assist with factual investigations and preliminary reviews of legal documents.
• Maintain records of external counsel, engagements, retainers and fee arrangements.
• Track legal invoices, outstanding approvals and payments and conduct initial administrative checks against the relevant matter and agreed fees.
• Assist with Legal Department budget monitoring and reporting.
• Maintain an organised electronic repository of legislation, judgments, legal opinions, precedents, agreements and legal research.
• Assist in developing and maintaining collections of jurisprudence relevant to MUA, particularly in insurance, employment, commercial and regulatory law.
• Ensure appropriate naming, filing and archiving of legal documents, while preserving useful precedents and institutional knowledge.
• Coordinate with Claims, Underwriting, Finance, Procurement, HR, Compliance and other departments to obtain factual information, supporting documents and outstanding actions.
• Assist with internal investigations and special Legal Department projects.
• Assist the Legal Manager with financial crime compliance obligations.
• Manage and coordinate all Ombudsperson matters from receipt through preparation of the proposed response and supporting documents and refer the matter for substantive review and approval before submission.
Job Requirements
• Degree or recognised qualification in Law preferred.
• Minimum 2 years of relevant legal or paralegal experience.
• Strong written and spoken English and French.
• Good legal research, analytical and drafting skills.
• Strong organisational, follow-up and document-management capabilities.
• Experience within insurance, financial services or a law firm will be an advantage.
