Job Description
The Administrative Coordinator is responsible for managing daily administrative tasks, including recording and distributing requests, following up on debtors, and ensuring compliance-related liaison activities. Additionally, the role provides comprehensive administrative support to the Client Management Team, ensuring efficient workflows and communication. The Administrative Coordinator serves as a key resource for maintaining operational excellence and supporting the team’s ability to deliver exceptional client service.
Main Responsibilities
• Record and document incoming requests and inquiries from clients and internal stakeholders on a daily basis.
• Ensure accurate classification and prioritization of requests based on urgency and importance.
• Distribute requests to appropriate team members for timely resolution, ensuring a smooth workflow.
• Maintain detailed logs of requests and follow up to ensure completion within agreed timeframes.
• Monitor outstanding payments and coordinate follow-ups with debtors to ensure timely collection.
• Maintain accurate records of debtor accounts, payment schedules, and communication history.
• Liaise with the finance team to reconcile accounts and resolve payment discrepancies.
• Prepare periodic reports on debtor status and escalate overdue accounts as necessary.
• Act as a liaison between internal teams and compliance personnel to ensure adherence to regulatory and organizational standards.
• Assist with gathering and organizing documentation required for compliance audits and reviews.
• Track and report compliance-related activities and deadlines to relevant stakeholders.
• Support the Client Management Team in implementing compliance policies and procedures.
• Provide comprehensive administrative assistance to the Client Management Team, including scheduling meetings, preparing presentations, and drafting correspondence.
• Coordinate client-related activities, ensuring timely communication and follow-through.
• Maintain and update client records, reports, and databases to ensure accuracy and accessibility.
• Assist with client onboarding processes and ensure all required documentation is completed.
Job Requirements
• Higher School Certificate
• Experience in a similar position will be an advantage
• Strong organizational and multitasking skills to manage daily tasks efficiently.
• Excellent communication skills, both written and verbal, for interacting with clients and internal teams.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Ability to handle sensitive client information with professionalism and confidentiality.
• Problem-solving and analytical skills to address operational challenges.
• Attention to detail and accuracy in recording and distributing requests, maintaining records, and preparing reports.
• Adaptability to changing priorities and deadlines in a fast-paced environment.
