Job Description

 The Receptionist/Administrative Assistant is the first point of contact for the Company and provides polyvalent front-office and administrative support across the organisation. The incumbent is responsible for welcoming visitors, managing incoming calls and correspondence, and maintaining a professional and well-organised reception area, while also providing administrative support such as drafting and formatting documents, filing, photocopying and binding. The incumbent acts as the designated backup for the Receptionist during leave, breaks or absence, ensuring uninterrupted front-office coverage at all times, and provides general administrative assistance to the Group HR Executive and other departments as required.

Reception
  • Welcome and receive visitors, clients, suppliers and contractors in a courteous and professional manner, and direct/announce them to the appropriate person or department.
  • Manage the main reception area and front office, ensuring it is kept clean, tidy and presentable at all times.
  • Answer, screen and forward incoming telephone calls promptly and professionally, taking and relaying accurate messages.
  • Receive, sort and distribute incoming mail, parcels and courier deliveries, and prepare/dispatch outgoing mail and courier items.
  • Maintain the visitors' log/register and issue visitor badges, ensuring compliance with site access and security procedures.
  • Schedule and coordinate appointments and meeting room bookings, and arrange related logistics (refreshments, set-up) for visitors and internal meetings.
  • Liaise with internal departments and external parties to relay information and follow up on requests in a timely and professional manner.
  • Monitor and maintain adequate stock of front-office and stationery supplies, and raise requisitions/orders as required.
  • Ensure the switchboard, intercom and other reception equipment are in good working order, and report any faults promptly.
  • Provide full backup cover at the reception desk during the Receptionist's leave, breaks or absence, ensuring continuity of front-office and telephone services at all times.

Administration

  • Provide day-to-day administrative support to the Group HR Executive and other departments, including typing, formatting and proofreading correspondence, memos, reports and other documents.
  • Draft routine letters, memos and other administrative documents as instructed, ensuring accuracy, professional presentation and adherence to Company templates and branding.
  • Photocopy, scan, print, laminate and bind documents and reports as required.
  • Maintain and update proper filing systems, both hard copy and electronic, ensuring documents are accurately filed, secured and easily retrievable.
  • Prepare and maintain administrative records, registers and databases, ensuring information is accurate, complete and kept up to date.
  • Assist in the organisation of meetings, including preparation of agendas, minutes and related documentation.
  • Coordinate and follow up on administrative matters with internal departments and external service providers, including courier companies, suppliers and contractors.
  • Assist with other administrative and clerical duties as required, including data entry, archiving and record-keeping.
  • Perform any other assignment as may be delegated.


College/University Education:

  • Higher School Certificate (HSC), or equivalent qualification.
A Diploma in Office/Business Administration, Secretarial Studies or a related field would be a definite advantage.
