Job Description

The Distribution Coordinator supports the Warehouse & Logistics Manager in ensuring the efficient running of distribution and fleet operations.
The role has a strong operational and supervisory focus, ensuring smooth daily operations, timely and conformity deliveries, effective use of resources and compliance with Company procedures.
The job holder acts as second-in-command of the function and oversees day-to-day operations in the absence of the Warehouse & Logistics Manager.


Key Responsibilities:
1. Coordinate daily distribution activities, including verification prior loading and dispatch.
2. Ensure proper handling and movement of products to minimise damages, losses and stock discrepancies.
3. Coordinate delivery planning and ensure timely and conform deliveries to customers.
4. Support efficient route planning and utilisation of Company and third-party vehicles.
5. Monitor fleet availability, maintenance, fuel consumption, GPS tracking, insurance and statutory requirements.
6. Supervise delivery operational teams, ensuring appropriate manpower allocation and productivity.
7. Monitor attendance, overtime, employee performance and operational discipline.
8. Ensure effective coordination with Sales, Finance and other departments.
9. Monitor key operational KPIs including delivery performance, damages, fleet utilisation, fuel consumption and overtime.
10. Prepare regular operational reports and highlight issues, trends and improvement opportunities to the Warehouse & Logistics Manager.
11. Identify opportunities to improve delivery efficiency, service levels and operational costs.
12. Ensure proper documentation and adherence to delivery procedures.
13. Maintain high standards of cleanliness (vehicles), Health & Safety and use of PPE.
14. Handle day-to-day operational issues and escalate significant matters appropriately.
15. Act on behalf of the Warehouse & Logistics Manager during his/her absence to ensure continuity of operations.


Profile:
1. Diploma or Bachelor's Degree in Logistics, Operations, Business Management or equivalent.
2. Good knowledge of distribution and fleet operations.
3. Strong supervisory, organisational and problem-solving skills.
4. Ability to manage multiple operational priorities in a fast-paced environment.
5. Good communication and cross-functional coordination skills.
6. Customer and results-oriented mindset.
7. Good working knowledge of ERP systems and Microsoft Office, particularly Excel.
8. Strong sense of accountability, discipline and attention to detail.

 
Experience:
Minimum 5 years' relevant experience in logistics, distribution or supply-chain operations, with at least 2 years in a supervisory/team-management role.
Experience within a high-volume distribution, FMCG, retail or similar environment would be an advantage.
