Job Description

We are looking for a Parking Admin Assistant to provide efficient administrative and financial support to the Parking team. The employee must be organised, detail-oriented and customer-focused, with the ability to manage administrative processes, financial transactions and client/vendor interactions effectively.


Key Responsibilities:

  • Act as the primary point of contact for office visitors and clients, handling phone calls and email enquiries in a professional and timely manner.
  • Manage office supplies and coordinate the maintenance of office equipment to ensure smooth day-to-day operations.
  • Organise and maintain accurate digital and physical filing systems.
  • Coordinate department meetings, including scheduling, room bookings and meeting-room preparation.
  • Provide day-to-day administrative support to the Manager and assist with various departmental tasks.
  • Handle agreement workflows, including onboarding new accounts, preparing addendums and processing terminations.
  • Maintain accurate financial records by tracking and recording daily transactions.
  • Prepare and issue purchase orders (POs) and invoices, and follow up on outstanding payments.
  • Review incoming vendor invoices for accuracy and upload them onto Dynamics 365 for approval.
  • Monitor departmental expenses and manage petty cash in accordance with written approval from the Line Manager.
  • Assist with the preparation and organisation of documentation required for month-end closing and annual financial reporting.
  • Maintain confidentiality and ensure that all administrative and financial records are properly handled and stored.

Qualifications, Skills and Experience:

  • Diploma in Business Administration / Management or a related field.
  • 2–3 years of experience in an administrative, accounts or office support role; experience in property or facilities management would be an advantage.
  • Good working knowledge of Microsoft Office tools, particularly Word, Excel and Outlook.
  • Experience with ERP/accounting systems; knowledge of Microsoft Dynamics 365 would be an advantage.
  • Basic understanding of invoicing, purchase orders, petty cash and financial administration.
  • Fluent in English and French, both written and spoken.
  • Strong organisational and administrative skills.
  • Excellent attention to detail and accuracy, particularly when handling financial information.
  • Good communication and interpersonal skills, with a customer-service-oriented approach.
  • Ability to prioritise tasks and meet deadlines in a fast-paced environment.
  • Proactive, reliable and able to work independently as well as part of a team.
  • Good problem-solving and follow-up skills.
  • High level of integrity and discretion when handling confidential information.
  • Ability to manage multiple tasks while maintaining accuracy and quality.
  • Professional attitude and strong sense of accountability.
