Reporting Line:
Reports functionally and administratively to HR
Manager
Works collaboratively with Operations, Finance, Quality, and Site Management
teams
Role Purpose
The HR Officer is responsible for the operational ownership, implementation, monitoring, and reporting of core people programs across the organisation.
- Onboarding programme execution and effectiveness
- Training programme administration and compliance
- Payroll preparation and data integrity as delegated by the HR Manager
- Other HR administrative functions
The HR Officer supports the HR Manager through structured programme ownership, reporting, and continuity, ensuring consistency, compliance, and operational discipline across all sites.
Key Responsibilities
1. Onboarding Programme
- Own and administer the end‑to‑end onboarding programme for all new employees
- Implement approved onboarding frameworks and induction plans across sites
- Coordinate induction sessions, SOP familiarisation, compliance briefings, and mandatory training
- Monitor onboarding completion, effectiveness, and probation milestones
- Maintain onboarding trackers, documentation, and audit‑ready records
- Prepare regular onboarding reports (status, gaps, risks) to HR Manager and Operations
- Continuously improve onboarding processes based on feedback and operational needs
2. Training Programme Administration
- Lead the administration of the annual training programme, in alignment with HR, Quality, and Operations
- Maintain and update the training matrix, training calendar, and training records
- Coordinate internal and external training sessions and logistics
- Ensure training
compliance with:
- Labour requirements
- SOPs and Work Instructions
- AAALAC and Quality standards
- Upload and maintain accurate training records in HRMS / Sicorax
- Track compulsory training, refresher cycles, and non‑compliance
- Produce monthly and quarterly training and HR compliance reports
- Support competency gap analysis and training needs identification
3. Payroll Preparation & HR Manager Back‑Up
- Prepare monthly payroll input files, attendance summaries, and payroll schedules
- Validate data accuracy (attendance, leave, overtime, contract changes)
- Liaise with Finance for payroll processing timelines
- Act as first‑level payroll back‑up to ensure continuity in HR Manager’s absence
- Support resolution of payroll queries before escalation to HR Manager
4. HR Administration & Employee Lifecycle
- Manage employee records, personnel files, and HRMS data integrity
- Support recruitment processes from advert to onboarding handover
- Draft employment documentation (contracts, letters, confirmations)
- Coordinate off‑boarding administration and exit documentation
- Issue standard HR letters (employment certificates, testimonials, bank letters)
- Support grievance handling, disciplinary processes, and documentation in line with policy
5. Reporting, Compliance & Continuous Improvement
- Compile standard HR operational reports (onboarding, training, payroll)
- Ensure HR documentation remains audit‑ready at all times
- Support AAALAC, ISO, and internal audits through accurate people‑records
- Identify gaps in processes and propose structured improvements
- Work within HR SOPs, policies, and governance frameworks
Qualifications & Experience
- Diploma or Degree in Human Resources or related field
- Minimum 4 years’ experience in an operational HR role
- Holder of a valid driving license or has an own means of transport.
- Strong exposure to onboarding, training administration, and HR reporting
- Practical knowledge of labour legislation and HR compliance
- Proficient in MS Office and HRMS systems
