Job Description

Key Responsibilities

1. Import Operations Management

  • Coordinate end-to-end import processes from order confirmation to cargo delivery.
  • Monitor shipment tracking and ensure timely movement of goods.
  • Liaise with overseas suppliers, freight forwarders, and customs brokers.
  • Track and follow up on shipments to ensure goods arrive according to agreed timelines.
  • Resolve shipment discrepancies and operational issues promptly.

2. Customs Clearance & Compliance

  • Ensure compliance with customs laws, import regulations, and company policies.
  • Prepare, verify, and maintain all import documentation, including:
    • Commercial Invoices
    • Packing Lists
    • Bills of Lading / Air Waybills
    • Certificates of Origin
    • Import Permits and Licenses – Liaise with all concerned authorities to ensure all appropriate permits are received on time.
  • Coordinate customs clearance activities with freight forwarder/brokers and relevant authorities.
  • Ensure correct tariff classification, HS Code and duty application.
  • Monitor changes in customs regulations and communicate impacts to the business.

3. Cost Control and Duty Management

  • Verify freight, customs duty, VAT, port charges, and clearance costs.
  • Reconcile shipping and customs-related invoices.
  • Identify opportunities to optimize logistics and import costs.
  • Prepare landed cost calculations and provide accurate costing information to relevant departments.

4. Supplier & Stakeholder Coordination

  • Maintain strong relationships with suppliers and logistics partners.
  • Coordinate closely with:
    • Commercial/Buying Team
    • Warehouse Operations
    • Finance Department
    • Quality Assurance Team
  • Provide regular updates on shipment status and anticipated delays.

5. Inventory and Supply Chain Support

  • Support availability of imported products by ensuring timely deliveries.
  • Coordinate urgent shipments to avoid stock shortages.
  • Assist in forecasting import lead times and supply risks.
  • Contribute to inventory optimization initiatives.

6. Reporting and Documentation

  • Maintain accurate import records and statutory documentation.
  • Generate periodic reports on:
    • Shipment status
    • Customs clearance performance
    • Import costs
    • Freight expenses
    • Delayed shipments
  • Ensure proper filing and audit readiness of import records.

7. Continuous Improvement

  • Identify improvements in import and customs processes.
  • Participate in supply chain projects and process optimization initiatives.
  • Recommend solutions to improve lead times, service levels, and operational efficiency.

Key Performance Indicators (KPIs)

  • On-time customs clearance rate.
  • Average cargo clearance lead time.
  • Percentage of shipments delivered on schedule.
  • Accuracy of import documentation.
  • Number of customs compliance issues.
  • Freight and import cost variance against budget.
  • Number of stock-out incidents linked to import delays.

Qualifications & Experience

Education

  • Degree in Supply Chain Management, Logistics, International Trade, Business Administration, or a related field.
  • Professional certification in Customs, Logistics, or International Trade would be an advantage.

Experience

  • Minimum 3-5 years of experience in import, customs clearance, freight forwarding, or supply chain operations.
  • Experience in the retail, FMCG, or supermarket industry is highly desirable.
  • Experience dealing with customs authorities and freight forwarders.

Skills & Competencies

Technical Skills

  • Knowledge of import/export regulations and customs procedures.
  • Understanding of Incoterms and international shipping documentation.
  • Advanced Microsoft Excel skills.
  • Experience with ERP/Supply Chain systems.
