Job Description

Job Summary

The Sales Coordinator provides administrative and operational support to the Sales team to ensure smooth handling of client inquiries, group bookings, contracts, events, and sales activities. The role involves coordinating with internal departments, maintaining client records, preparing proposals and reports, and assisting in achieving the hotel's revenue and occupancy targets while delivering exceptional guest service.

 

Key Responsibilities

Sales Administration

  • Provide administrative support to the Sales and Marketing team.
  • Prepare and distribute proposals, contracts, and banquet event orders (BEOs).
  • Maintain accurate client databases and sales records.
  • Process and track correspondence, contracts, and agreements.
  • Prepare weekly and monthly sales reports.

Client Relationship Management

  • Respond to client inquiries in a timely and professional manner.
  • Coordinate site inspections and hotel tours for potential clients.
  • Maintain regular communication with corporate, travel trade, and group clients.
  • Assist in building strong relationships with existing and prospective customers.

Coordination & Operations

  • Liaise with Front Office, Reservations, Food & Beverage, Events, and other departments to ensure guest requirements are met.
  • Coordinate group bookings, conferences, meetings, and special events.
  • Ensure all booking details and client requests are accurately communicated to operational teams.
  • Follow up on event logistics and guest satisfaction.

Revenue & Business Support

  • Assist the Sales team in achieving sales targets and revenue goals.
  • Monitor booking activity and update sales pipelines.
  • Support promotional campaigns, trade shows, and marketing initiatives.
  • Conduct market research and competitor analysis when required.

Compliance & Standards

  • Ensure compliance with hotel policies, procedures, and brand standards.
  • Maintain confidentiality of client information and business data.
  • Adhere to health, safety, and security requirements.

 

Skills & Experience

Diploma or Degree in Hospitality Management, Business Administration, Sales, Marketing, or a related field.

Previous experience in hospitality sales, reservations, events, or administrative support is preferred.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Familiarity with hotel PMS and CRM systems is advantageous.

Excellent communication and interpersonal skills.

Strong organizational and multitasking abilities.

Ability to work under pressure and meet deadlines.
