Job Description

Objectives:
To provide operational and administrative support to the Supply Chain function by coordinating procurement, demand planning, inventory management, supplier follow-up, documentation, reporting and transaction processing, while ensuring product availability, stock accuracy, cost control and effective segregation of duties. She / He is responsible for forecasting and managing the inventory levels of food and beverage products within the hospital’s food and beverage store. This role ensures that the hospital’s food service operations are well-stocked with the necessary products, minimizing stockouts and overstock situations while meeting the dietary needs of patients, staff, and visitors. The ideal candidate will possess strong analytical skills, attention to detail, and the ability to collaborate with various departments to ensure efficient inventory management.

Responsibilities:

The Supply Chain Coordinator is responsible for ensuring the efficient planning, procurement, inventory management, receiving, and distribution of supplies to support uninterrupted hospital operations. The role involves forecasting demand, managing purchase requisitions and orders, monitoring stock levels, coordinating with suppliers, and maintaining accurate procurement and inventory records.

Key responsibilities include identifying stock requirements, preventing stock-outs and overstocking, supporting supplier management and procurement activities, processing receiving documents and GRNs, assisting with stock takes, and ensuring compliance with procurement procedures, food safety standards, and internal controls. The position also requires preparing operational reports, analysing inventory and purchasing data, supporting audits, and contributing to continuous improvement initiatives within the supply chain function.

The incumbent must uphold ethical standards, maintain confidentiality, comply with hospital policies and regulatory requirements, promote workplace health and safety, and support the continuity of supply for critical products and services essential to patient care and hospital operations.


Qualifications & Experience

Higher School Certificate

Advance Certificate in Procurement and Supply

Experience in procurement, supply chain, inventory management or demand planning, preferably within F&B, hospitality, healthcare or a similar environment.

Good knowledge of inventory management, procurement processes, demand planning and supplier coordination.

Good numerical, analytical and problem-solving skills.

Proficiency in Microsoft Excel and procurement/inventory management systems.

Strong communication, coordination and organizational skills.

Ability to work under pressure, manage priorities and meet deadlines.

High level of accuracy, attention to detail and integrity.

Knowledge of FIFO/FEFO, stock control, HACCP and food safety requirements would be an advantage.
