Job Description
Strategic Planning & Policy Development
· Develop and implement integrated strategies and policies for the procurement and stores departments to support organizational goals in consultaton with Management.
· Develop and implement procurement policies, strategies, and procedures.
· Ensure adherence to the Store Procedure Manual and Policy.
· Forecast overall procurement needs based on operational requirements and budgets.
· Establish an efficient Reorder Level policy in consultation with Head of Departments.
Departmental Leadership & Management
· Lead, mentor, and manage the procurement and stores teams to ensure high performance and operational excellence.
· Supervise, lead, and mentor the procurement and store teams.
· Responsible for the proper planning, co-ordination, and safe running of the entire store function.
Supplier & Inventory Management
· Oversee the management of supplier relationships and the entire inventory lifecycle to optimize value and availability.
· Lead the sourcing, evaluation, and qualification of key suppliers, in consultation with management.
· Spearhead major contract and pricing negotiations to secure favorable agreements.
· Ensure all stores are properly stacked and that updated records are maintained showing actual stock levels.
· Oversee the process for identifying, listing, and reporting on slow-moving or obsolete stock.
· Ensure continuous physical stock-taking is carried out and that discrepancies are reported and remedied.
IT System Discipline
· Ensure all relevant IT applications within the department are consistently updated, and that daily records are accurately entered into the system to facilitate report generation for management.
Financial Oversight & Reporting
· Manage departmental budgets and analyse data to drive cost savings and report on performance.
· Monitor procurement and stores budgets and report on any variances.
· Identify and drive cost-saving opportunities without compromising quality.
· Analyse market trends to identify cost optimisation opportunities.
· Oversee the preparation of regular reports on procurement activities, supplier performance, cost savings, and inventory levels.
Decision Making:
· Approving departmental strategies, policies, and annual budgets.
· Making final decisions on high-value contracts and key supplier selections.
· Authorising the disposal or reconditioning of obsolete, unserviceable, or damaged stock.
· Resolving major supply chain disruptions or critical supplier performance issues.
