Job Description

1. JOB PURPOSE

The Storekeeper is responsible for the day-to-day physical management of hotel inventory, ensuring that all goods received, stored, issued, and returned are handled accurately, safely, and in accordance with Heritage Awali's procedures.

The role ensures that stores remain properly organised, secure, clean, and adequately stocked while maintaining accurate documentation and supporting effective stock control.

2. KEY RESPONSIBILITIES

A. Receiving & Checking Goods

  • Receive goods delivered to the hotel against approved purchase orders and delivery documents.
  • Check quantities, descriptions, packaging, quality, expiry dates, and condition of goods received.
  • Report shortages, damaged goods, incorrect deliveries, or discrepancies immediately.
  • Ensure goods received are properly documented and transferred to the appropriate storage area.
  • Ensure perishable goods are checked and stored promptly.
  • Follow all food safety and hygiene requirements when handling food products.

B. Storage & Stock Organisation

  • Store all goods in the appropriate designated areas.
  • Maintain stores in a clean, orderly, secure, and hygienic condition.
  • Arrange stock to allow easy identification, counting, and retrieval.
  • Apply FIFO (First In, First Out) and FEFO (First Expired, First Out) principles where applicable.
  • Monitor expiry dates and report items approaching expiry.
  • Ensure chemicals and other hazardous products are stored safely and separately where required.
  • Ensure heavy, fragile, or high-value items are stored appropriately.
  • Maintain clear labelling of stock and storage locations.

C. Issuing of Stock

  • Prepare and issue goods to hotel departments against properly authorised requisitions.
  • Verify quantities and items before releasing stock.
  • Ensure all stock issues are recorded accurately.
  • Obtain the required acknowledgement/signature for goods issued where applicable.
  • Ensure no stock is released without appropriate authorisation.
  • Handle returned goods in accordance with established procedures.

D. Stock Control

  • Assist with daily monitoring of stock levels.
  • Inform the Store Administrator of low-stock items and potential shortages.
  • Identify slow-moving, damaged, expired, or excess stock.
  • Assist with stock rotation to minimise wastage.
  • Report any unusual stock movements or discrepancies immediately.
  • Ensure stock is protected against damage, deterioration, wastage, or unauthorised removal.

E. Stocktaking

  • Participate in regular physical stock counts.
  • Count stock accurately and systematically.
  • Assist with reconciliation of physical quantities against system/book records.
  • Report discrepancies to the Store Administrator.
  • Assist during monthly, annual, internal, and external audit stock counts.
  • Ensure stock areas are properly arranged before stocktaking.

F. Store Security & Loss Prevention

  • Maintain strict control over access to storage areas.
  • Ensure stores remain locked and secured when unattended.
  • Do not permit unauthorised persons to access or remove stock.
  • Immediately report suspected theft, unauthorised removal, damage, or unusual activity.
  • Follow all hotel procedures relating to inventory security and loss prevention.
  • Maintain confidentiality regarding stock and hotel operations.

G. Housekeeping & Safety

  • Maintain high standards of cleanliness and housekeeping within all store areas.
  • Ensure aisles, exits, fire equipment, and access points remain clear.
  • Follow occupational health and safety requirements when lifting, carrying, moving, or storing goods.
  • Use appropriate personal protective equipment where required.
  • Report unsafe conditions, damaged storage equipment, pest activity, leaks, or other hazards immediately.
  • Support pest-control and hygiene programmes within storage areas.

3. KEY PERFORMANCE INDICATORS (KPIs)

  • Accuracy of stock issued and received.
  • Number and value of stock discrepancies.
  • Compliance with authorised requisition procedures.
  • Stock rotation and expiry control.
  • Store cleanliness and organisation.
  • Reduction of damaged, expired, and wasted stock.
  • Accuracy during physical stock counts.
  • Compliance with inventory control procedures.
  • Timely reporting of shortages and discrepancies.
  • Compliance with safety, hygiene, and security requirements.

4. INTERNAL CONTROLS & COMPLIANCE

The Storekeeper must:

  • Follow all Heritage Awali and ER Hospitality policies and procedures.
  • Comply with inventory control and Finance procedures.
  • Ensure all stock movements are properly authorised and documented.
  • Immediately report any suspected theft, fraud, loss, conflict of interest, or breach of procedure.
  • Maintain confidentiality of company information.
  • Comply with applicable health, safety, food hygiene, and environmental requirements.

5. QUALIFICATIONS & EXPERIENCE

Essential:

  • Minimum School Certificate or equivalent.
  • Previous experience in stores, warehouse, stock control, or a similar position.
  • Basic numerical and record-keeping skills.
  • Basic computer literacy.
  • Ability to physically handle and move stock safely.
  • Ability to work in a structured and controlled environment.

Desirable:

  • Previous experience in a hotel or hospitality environment.
  • Experience handling food, beverages, chemicals, operating supplies, or hotel inventory.
  • Knowledge of FIFO/FEFO stock rotation.
  • Experience using inventory or ERP systems.
