Job Description

Job Purpose

To coordinate and oversee the daily transport operations of the company by ensuring the efficient utilisation of vehicles, drivers, and transport resources to facilitate timely and cost-effective delivery of goods while maintaining compliance with health, safety, and transport regulations.

Key Responsibilities

Transport Operations

  • Coordinate daily vehicle scheduling and delivery planning.
  • Ensure timely dispatch and delivery of products to customers and distribution points.
  • Monitor vehicle utilisation and optimise route planning.
  • Liaise with warehouse and sales teams to support delivery requirements.
  • Resolve transport-related issues and delivery delays promptly.

Fleet Management

  • Monitor the condition, availability, and performance of the company fleet.
  • Schedule preventive maintenance, repairs, licensing, and vehicle inspections.
  • Maintain accurate transport and vehicle records.
  • Monitor fuel consumption and vehicle operating costs.
  • Investigate vehicle breakdowns and recommend corrective actions.

Driver Management

  • Coordinate driver schedules, attendance, and leave planning.
  • Ensure drivers comply with company policies, road traffic regulations, and safety standards.
  • Maintain driver documentation, licences, permits, and certifications.
  • Conduct toolbox talks and transport safety briefings.

Compliance and Safety

  • Ensure compliance with road transport legislation and company HSE requirements.
  • Investigate transport incidents, accidents, and traffic violations.
  • Implement corrective and preventive actions arising from transport-related incidents.
  • Monitor adherence to vehicle inspection checklists and safety procedures.

Reporting and Administration

  • Prepare transport performance reports and KPIs.
  • Maintain records of fuel consumption, vehicle repairs, insurance, licensing, and permits.
  • Monitor transport expenses and assist in budget control.
  • Generate reports on fleet availability, maintenance costs, and delivery performance.

Key Performance Indicators (KPIs)

  • On-time delivery rate.
  • Fleet availability percentage.
  • Vehicle downtime.
  • Fuel consumption efficiency.
  • Number of transport-related incidents/accidents.
  • Vehicle maintenance compliance rate.
  • Cost per delivery.
  • Driver attendance and compliance rate.

Qualifications

  • Diploma or Degree in Logistics, Transport Management, Supply Chain Management, Business Administration, or related field.
  • Certificate in Fleet Management or Logistics Management will be an advantage.

Experience

  • Minimum 3 years' experience in transport, logistics, fleet operations, or distribution management.
  • Experience in FMCG distribution operations is highly desirable.
  • Proven experience coordinating drivers and vehicle fleets.

Knowledge & Skills

  • Knowledge of road transport regulations and fleet management.
  • Strong planning and organisational skills.
  • Proficiency in Microsoft Excel and transport management systems.
  • Good analytical and problem-solving abilities.
  • Strong communication and coordination skills.
  • Ability to work under pressure and meet delivery deadlines.
