Job Description

Abacus Group is seeking a highly organised and proactive Sales & Administration Coordinator to support the Group’s real estate development and property sales activities.

The successful candidate will play a central role in coordinating client enquiries, sales documentation, KYC requirements, notarial follow-ups and general administrative matters across the Group’s projects. This position requires excellent organisation, attention to detail and the ability to manage several priorities and stakeholders simultaneously.

Main Responsibilities

  • Respond to client enquiries and provide approved information on available properties and development projects.
  • Coordinate sales administration from initial enquiry and reservation through to signature and completion.
  • Maintain accurate client records, sales trackers, reservation registers and property availability schedules.
  • Collect, review and follow up on KYC and transaction documentation.
  • Liaise with clients, notaries, banks, consultants, agents and other stakeholders.
  • Coordinate Promesses de Vente, signature appointments, deposits and outstanding documentation.
  • Prepare professional correspondence, reports, reminders and client updates.
  • Maintain organised electronic and physical filing systems.
  • Monitor deadlines and outstanding actions and escalate delays or concerns to management.
  • Support client meetings, site visits and general administrative requirements.

Qualifications and Experience

  • Certificate or diploma in Business Administration, Management, Sales, Marketing, Real Estate or a related field.
  • At least three years’ experience in a similar administrative, sales coordination or client service role.
  • Experience in real estate, property development, construction, banking, legal or notarial services would be an advantage.
  • Strong written and spoken English and French.
  • Proficiency in Microsoft Word, Excel, Outlook and PowerPoint.
  • Experience using CRM systems or electronic document-management platforms would be advantageous.
