Job Description
Overview of the Role 🔍
Provide comprehensive administrative and executive support to the Hotel Manager by managing schedules, coordinating with Heads of Departments, and ensuring the timely follow-up of operational and business priorities.
Key Responsibilities 📋
Executive Support & Communication
• Provide administrative and secretarial support to the Hotel Manager.
• Manage the Hotel Manager's calendar, meetings, correspondence, and confidential communications.
• Liaise with Heads of Departments, external stakeholders, and guests, ensuring a high standard of service.
Meetings, Reporting & Documentation
• Coordinate meetings, prepare agendas, record minutes, and follow up on action points.
• Prepare reports, presentations, correspondence, and management documentation.
• Compile KPI reports and monitor the follow-up of Guest Satisfaction Questionnaires (GSQs).
Administration & Systems Management
• Maintain office records, filing systems, and confidential documentation.
• Process requisitions, update HOD duty rosters, and maintain administrative records.
• Coordinate administrative support for hotel events, sponsorships, and staff activities.
Wedding & Event Coordination
• Coordinate weddings and special events from planning through to execution.
• Liaise with clients, operational teams, and suppliers to ensure seamless event delivery.
• Prepare function sheets and oversee event logistics to meet client expectations.
Sales, Financial Administration & Guest Experience
• Promote and upsell wedding and event packages.
• Monitor event budgets, payments, and final billing in collaboration with Finance.
• Ensure exceptional guest service through effective client communication and prompt resolution of concerns.
Ideal Candidate Profile 🎯
• Diploma or Degree in Business Administration, Hospitality Management, Event Management, or a related field.
• Minimum of 2–3 years' experience in an executive support, administrative, or coordination role, preferably within the hospitality industry, with exposure to event or wedding coordination.
• Strong organisational, communication, and administrative skills, with proficiency in Microsoft Office and hotel management systems (e.g. WinHMS).
