Job Description

Our client is seeking to recruit a Procurement Executive who will report to the Business Development Manager.  The Procurement Executive is responsible for supporting the procurement function by sourcing goods and services, managing purchase orders, coordinating with suppliers, and ensuring the timely delivery of materials. The role also maintains accurate procurement records, supports inventory requirements, and ensures compliance with company policies and procedures

Responsibilities:

Procurement & Vendor Coordination:
  • Process purchase requisitions and prepare purchase orders in accordance with company procedures.
  • Source quotations from approved suppliers and compare pricing, quality, and delivery terms.
  • Assist in negotiating prices and delivery schedules with suppliers to achieve cost-effective purchasing.
  • Maintain strong working relationships with suppliers and follow up on outstanding orders to ensure timely deliveries.
  • Evaluate supplier performance and escalate any quality or delivery issues to the Purchasing Manager.
  • Ensure procurement activities comply with company policies, procedures, and ethical standards.

Inventory & Supply Chain Support:
  • Coordinate with the stores and operations teams to ensure timely replenishment of stock.
  • Monitor inventory levels and assist in forecasting purchasing requirements.
  • Track purchase orders and proactively resolve supply or delivery issues.
  • Maintain accurate procurement records and supplier documentation.
  • Support inventory counts and stock reconciliation exercises when required.

Accounting & Administrative Support:
  • Ensure accurate entry of purchase orders, supplier invoices, and procurement data into the ERP/accounting system.
  • Assist in reconciling supplier statements and resolving invoice discrepancies.
  • Support the Finance team during month-end and year-end closing activities relating to procurement.
  • Maintain procurement files, contracts, and supporting documentation.
  • Assist in preparing purchasing reports, spend analysis, and budget monitoring reports.
  • Ensure compliance with internal controls, audit requirements, and company policies.

Profile:
  • Bachelor's degree in Business Administration, Supply Chain Management, Accounting, or a related field.
  • Minimum of 3-5 years' experience in purchasing, procurement, or supply chain operations.
  • Sound understanding of procurement processes, inventory management, and basic accounting principles.
  • Proficiency in ERP systems and Microsoft Office Suite, particularly Microsoft Excel.
  • Strong negotiation, organizational, and analytical skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • High level of accuracy, integrity, and attention to detail.
