Job Description
The
Sales and Events Officer will support the planning, coordination, and
successful execution of events, while ensuring exceptional customer service in
accordance with the company’s standards. The role contributes to revenue growth
by promoting and managing events across the three venues of Reserve de Yemen.
Duties and Responsibilities
• Develop innovative ideas and initiatives aimed at enhancing the visibility of the venues and attracting new customers.
• Actively promote the company’s activities and event offerings to achieve targeted revenue objectives.
• Ensure timely handling of all enquiries, conduct necessary follow-ups, and coordinate site visits with prospective clients to secure bookings.
• Ensure timely handling of all group enquiries and conduct the necessary follow-ups to facilitate bookings and client satisfaction.
• Prepare and submit quotations in accordance with established guidelines and procedures.
• Conduct negotiations with clients in a professional and constructive manner.
• Coordinate and manage all events across the three venues of Réserve de Yémen, ensuring their successful planning and execution.
• Actively promote the company’s activities and events to achieve targeted revenue objectives.
• Prepare and submit quotations in accordance with established guidelines and procedures.
• Enhance the organisation’s visibility by delivering personalised, attentive, and high-quality service to all customers, ensuring client satisfaction and loyalty.
• Attend daily event briefings and provide accurate updates on bookings, enquiries, and ongoing event activities.
• Ensure timely follow-up with prospective and existing clients to support bookings and maintain customer relationships.
• Assist the Communication Department in promoting Réserve de Yémen’s activities, events, and advertisements to enhance visibility and attract customers.
• Provide administrative support for event operations, including the preparation and follow-up of relevant documentation, permits, and licences related to event concepts.
• Participate in sales meetings and contribute insights on sales activities, customer enquiries, and market opportunities.
• Contribute to special projects and carry out additional duties as assigned by the Sales & Events Manager.
• Acknowledge client enquiries and communications promptly, ensuring timely responses and effective follow-up.
• Maintain up-to-date knowledge of operational procedures, services, and any changes to provide accurate information and advice to clients.
• Coordinate and assist with site inspections with clients prior to events to ensure a clear understanding of their requirements and expectations.
• Liaise closely with operational teams to coordinate event arrangements and ensure the smooth preparation and execution of events.
• Provide regular updates on confirmed, pending, and upcoming bookings to ensure effective communication and planning.
• Coordinate with the team to ensure smooth organisation and operations on event days.
• Attend to all client requests and ensure a welcoming experience for guests.
• Manage on-site issues during events to guarantee smooth operations and consistently excellent customer service.
• Oversee corporate events, including lunches, dinners, team-building activities, and other related functions.
• Perform any other related duties as required by the employer.
• Ensure that the team is adequately trained and equipped with the tools and resources needed to perform their duties effectively.
• Coordinate staff activities by managing work assignments and schedules efficiently, as and when required.
• Promote a safe and healthy working environment for all employees.
• Comply with company Health & Safety policies, procedures, and OHS legislation.
• Support the implementation of Health & Safety measures relevant to daily operations and the work environment.
• Report hazards, accidents, and incidents to the Health & Safety Department and assist with investigations when required.
Minimum education & experience requirements
• Diploma in Sales & Marketing, Hospitality Management, Events Management or or any other related field.
• A minimum of two (2) years' relevant experience in event management.

• Ability to coordinate, host, and assist in the management of events.

• Dynamic, outgoing, and personable with a professional approach.
• Flexible and willing to work irregular hours as required by the employer.
• Holder of a valid driving license.
