Job Description
The Transport Executive is responsible for overseeing the
overall coordination, performance, and administration of vehicle services
operations. The role ensures effective management of fleet lifecycle
activities, including vehicle acquisition, fuel management, maintenance
coordination, accident handling, compliance, and decommissioning activities
while maintaining high operational efficiency and service quality.
Key Responsibilities
Fleet & Vehicle Lifecycle Management
- Oversee
vehicle acquisition and onboarding processes.
- Monitor
vehicle utilisation and operational performance.
- Tender
process and documentation for sales of vehicle
- Coordinate
vehicle replacement and decommissioning activities.
Fuel Management
- Liaise
with fuel providers regarding reporting and operational matters.
- Analyse
fuel consumption trends and irregularities.
- Monitor,
negotiate and analyse fuel consumption trends per segment.
- Debtors
management for fuel cards.
- Manage
fuel card administration and monitoring.
Maintenance & Compliance
- Oversee
maintenance schedules and repair coordination.
- Ensure
vehicles remain compliant with fitness and regulatory requirements.
- Coordinate
fitness appointments and vehicle inspections.
- Monitor
service quality from garages and suppliers.
- Reporting
and analysis per business unit as regards to rising maintenance costs
- Identify
vehicle maintenance costs and provide advisory for sales/repairs.
Accident & Claims Management
- Supervise
accident reporting and escalation processes.
- Coordinate
breakdown assistance and repair follow-up.
- Liaise
with insurers, brokers, and service providers regarding claims.
- Ensure completion of delivery acceptance and accident documentation.
Reporting & Administration
- Prepare
operational and performance reports.
- Monitor
operational KPIs and service levels.
- Support
budgeting and cost analysis activities.
- Ensure proper documentation and record management.
Team & Systems Management
- Manage
and oversee the approval workflow within Key2.
- Conduct
analysis, monitoring, and audit reviews of Key2 processes and
transactions.
- Organise
and lead monthly team meetings to review operational performance and
follow up on action plans.
- Set
up and coordinate weekly meetings with the Operations Manager for
strategic alignment and operational follow-up.
- Monitor
and manage attendance records through Dayforce.
- Prepare management meeting materials, reports, and KPI presentations.
Training & evaluation
- Identify
training and development needs across operational teams.
- Coordinate
and deliver training sessions as and when required to ensure operational
efficiency, compliance, and service quality.
- Monitor
and evaluate employee performance following training interventions.
- Conduct
operational assessments and competency evaluations.
- Support
onboarding and continuous development of employees.
- Maintain
training records, attendance, and evaluation reports.
- Recommend
corrective actions and refresher training where necessary.
- Promote
a culture of continuous improvement and operational excellence.
Job Requirements
- Diploma
or Degree in Transport, Logistics, Operations Management, or related
field.
- Minimum
5 years’ experience in fleet or transport operations.
- Good
understanding of vehicle compliance and fleet administration.
- Strong
coordination and stakeholder management skills.
