Saisie et suivi de flux logistiques entrées / sorties (de cartons), suivi des operations, management de 2 personnes, suivi de la facturation / recouvrement

 

  1. SAFETY & GENERAL
    1. Check fire extinguishers are serviced regularly.
    2. Ensure Pest control is done at regular intervals.
    3. Ensure warehouse is free of leaks.
    4. Ensure warehouse racking is safe and free of any safety concerns.
    5. Ensure warehouse cleanliness.
    6. Ensure AGS RM Hardware are handled with care and used efficiently and effectively.

 

 

  1. MANAGE RECEIVING / DISPATCH
    1. Get delivery / collection notes for the next day from Records Management Assistant or Records Management Manager by no later than 15h30 each day.
    2. When vehicles arrive at day-end, arrange to have the boxes / files off-loaded and immediately scanned into either New Box Holding Bays, or Re-Integration Holding Bays.
    3. Check that the number of boxes / files noted on each delivery and collection note, matches the actual files / boxes received and/ or delivered.  If not, correct the delivery and collection notes manually to reflect the actual totals transported.
    4. Hand corrected delivery and collection notes to Records Management Assistant for filing / reporting and invoicing purposes.
    5. If the vehicles arrive back at the warehouse early enough, start loading the next day’s deliveries according to the collection and delivery notes provided by Records Management Assistant or Records Management Manager.
    6. Ensure Drivers are on the road as early as possible, to maximize delivery / collection capacity per vehicle per day.
    7. Always plan routes to minimize use of fuel, wear on vehicles and time.
    8. Proceed with delivery and collection of archives at customer’s premises as per customers’ request.
    9. Handling In/Out of archives/boxes for deliveries or for scanning on racks after data capture.

 

 

  1. DRIVERS / PACKING TEAMS AND VEHICLES
    1. Ensure drivers and packing teams are always presentable
    2. Ensure drivers keep their vehicles clean and tidy
    3. Ensure all vehicles have a small fire extinguisher
    4. Ensure all vehicles have trolleys to enable proper box handling
    5. Ensure drivers and packing teams complete all daily documentation correctly
    6. Encourage drivers to alert us should anything need to be done on the vehicle i.e., upcoming services or blown light bulbs etc.
    7. Encourage drivers to mention any problem customers or consignments so that we may act in time
  1. Ensure each vehicle has Accident Insurance Forms and that the driver knows what to do in the event of an accident.

 

 

  1. DESTRUCTION
  1. Monitor volumes due for destruction and arrange trucks to deliver destruction at regular intervals
  2. Keep wastepaper area tidy
  3. Retain second hand boxes – Records Management Assistant to take stock and manage usage
  4. Keep destruction boxes in a designated area
  5. Boxes and content to be verified before destruction takes place

 

 

  1. 5.      WAREHOUSE MAINTENANCE
    1. Check racking is in good condition and report any problems / safety hazards
    2. Check Headlights always have batteries
    3. Check warehouse is always kept clean and neat (housekeeping)
    4. Make sure box positioning and display is always correct (never stack boxes higher than 4-5 etc.)
    5. Ensure Forklift is in good condition and always fuelled and available to work
    6. Ensure trolley-jacks do not hit the bottom racking beams as this will cause weakness and eventually collapse the racking
    7. Manage AGS RM materials stock (AGS RM 50L Boxes, Wallet Boxes, Confidential Bins, etc..)

 

 

  1. 6.      REGULAR BOX AUDITS
    1. Do regular box audits to confirm that boxes have been captured, and that boxes are in the correct locations.  Check at least 5 boxes per day – if not, rescan the entire bay and see if things balance then
    2. When getting a pallet back from the Data Capturers, reconcile the captured information on the system with the number of boxes located from the pallet
    3. Any discrepancies must be brought to the Records Management Manager’s attention for investigation and correction.

 

  1. FILE AND BOX CAPTURE
    1. Proceed with file/box capture after each archives collection as instructed by AGS Records Management Assistant.
    2. Proceed with Scanning or preparing of documents for scanning at AGS RM warehouse or customers’ premises.
    3. Ensure scanning is done properly before uploading on EAS.
