Reservation Agent

Responsible for recording and processing all reservation inquiries made by phone or email efficiently and accurately, converting inquiries into sales in order to maximize revenue & occupancy.

 

Job Specifications:
  1. Act as a “One Point Contact” for the Tour Operator, Agents and constantly interact with them in order to solicit Business.
  2. Monitor daily performance and manage revenue through revenue and yield management techniques.
  3. Ensure that all the operational standards set for all the processes are followed.
  4. Maintain regular contacts with corporate and individual customers, and building strong relationship with them.
  5. Managing room inventory
  6. Creating reservation files on HMS (Property Management System) using appropriate market segments and rate codes.
  7. Responding to all customers in a highly professional manner, including ensuring all bookings are completed accurately to the customer’s needs.
  8. To ensure that all sales enquiries are dealt with in a proactive manner, and converted to confirmed bookings.
  9. To ensure that all incoming and outgoing correspondence is dealt with correctly and efficiently.
  10. Taking and managing all bedrooms enquiries and bookings for the hotel, over the telephone, internet, and e-mails.
  11. To ensure that a pro forma invoice is sent to all partners which are on pre-payment
  12. To ensure that the follow up is done with regards to pre payment.  To contact all partners ensuring that payment is made on a timely manner
  13. Follow up with the accounts team for all payment reference.
  14. Communicate with the Reservations Team while ensuring that all comments are updated on the bookings that pre payment has been effected.
Person Specifications:
  1. Dynamic personality
  2. Good communication skills - Fluent both in French and English, a thrid language will be a definite advantage
  3. Able to work in a team
  4. Able to handle work pressure and work odd hours if required
  5. Computer literate, knowledge and experience on HMS an advantage
  6. Reliable and trustworthy 
  7. At least two years experience in similar position
