Provide a high level summary of the job

 

This receptionist is important for the company and adds to our bottom line in three ways:

  • To provide administrative and typing support to the officer who can then concentrate on higher value works.
  • To act as our ambassador to potential and existing customers, prospects and the world in general by greetings all visiting persons and answering phone calls in a way which can ensure that customers get the value service which they expect and more.
  • To efficiently manage communications such that the world has the proper perception of the culture of what Geroudis is and how we expect to change the world.

Essential Duties and Responsibilities

The following is a non-exhaustive list of duties:

  • To answer incoming calls and directing calls as appropriate.
  • To booking or make calls and chase callers.
  • To screenings calls when appropriate.
  • To greeting clients, guests, attorneys and employees.
  • To creating a positive and professional first impression on behalf of the company.
  • To making visitors comfortable, offering beverages.
  • To be the go-to person for the telephone system.
  • Typical receptionist administrative tasks:
    • Receive mail, deliveries and packages
    • Direct all mail and deliveries to the proper person
    • Stamp the date received on all incoming mail
    • Maintain the logs of incoming and outgoing despatch and deliveries
    • Dispose of junk mail
    • File documents in appropriate client files and sub files
    • Organise documents in files and sub-files and maintain them in an orderly fashion
    • Update indexes of documents in each file and sub-file
    • Return client files to their proper location when requested
    • Assist other staff as requested
    • Assist other staff as requested
    • Perform other general office duties as required.
    • Monitor and booking of Boardrooms

Supervisory Responsibilities

This role entails no supervisory responsibilities.

Degree of Independence/Supervision

  • Requires minimal supervisions on the job. Independently works under broad supervision and can manage one owns time efficiently.
  • Perform hierarchical escalation only in situation of exception.
  • Keeps management informed on a timely basis of all challenges and issues.
  • A-levels education is the minimum requirement
  • At least 3 years’ experience in a similar role.
  • Excellent language skills.
  • Specific happy personality required.
  • Pleasant outgoing and professional appearance and personality.
  • Min 50 words per minute typing speed expected within 3 months self-training during probation period.

Qualifications and Experience

A lesser qualification may be accepted if this is compensated by suitable demonstrable real world experience.

Skills

Essential technical skills required are:

  • Moderate to expert level in MS Office Suite.
  • Experience in business process documentation software such as MS Visio.
  • Desired experience in MS Project/SharePoint.

This role will be based in a fast paced, fact changing start-up type environment and as such requires an individual with exceptional skills in the following:
