Westzane (Mauritius) Holding Ltd seeks a Receptionist for our banking firm. Responsibilities include greeting clients, handling calls, scheduling, and office tasks. Strong communication, organization, and professionalism are key to ensuring smooth operations in a dynamic environment.

 

Responsibilities:

  • Greet clients, visitors, and employees in a professional, friendly, and efficient manner.
  • Answer, screen, and direct phone calls to appropriate departments or individuals.
  • Manage office schedules, including arranging meetings and appointments for senior staff.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Maintain the reception area and ensure it is always organized and presentable.
  • Provide general administrative support, including data entry, filing, and handling documentation.
  • Manage office supplies inventory and place orders when necessary.
  • Coordinate with internal teams to ensure smooth communication and efficient operations.
  • Help organize events and meetings, ensuring all logistics are covered.
  • Maintain records of visitors, ensuring compliance with security protocols.
  • Assist with client inquiries and provide exceptional customer service.
  • Perform other administrative tasks as required.

Requirements:

  • Education: High school diploma or equivalent (Bachelor’s degree preferred).
  • Experience: Proven experience as a receptionist or in a customer service role, ideally in a corporate or financial services environment.
  • Office Productivity Tools: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
  • Communication Skills: Excellent verbal and written communication skills with the ability to interact with clients, senior management, and team members professionally.
  • Organizational Skills: Strong organizational abilities with the capacity to handle multiple tasks, prioritize effectively, and manage competing deadlines.
  • Customer Service Orientation: A professional and approachable demeanor, capable of handling client and visitor inquiries efficiently.
  • Attention to Detail: High attention to detail in all aspects of the role, ensuring that all tasks are completed accurately and professionally.
  • Adaptability: Ability to work effectively in a dynamic environment, adapting quickly to changing priorities and tasks.
  • Professional Appearance: Polished and professional appearance, representing the company in a positive light to clients and visitors.
