Our Client is seeking to recruit a Project Procurement Coordinator for its operation. The candidate will assist the Procurement Executive in managing Procurement of goods and services.

 

Responsibilities:

Tender Preparation and Analysis

. Ensure the Specifications are correctly filed.
. Product creation on Pastel System
. Raise Purchase Requisition for Tender preparation
. Prepare tender/price request letters for projects.
. Work according to procurement plan drawn by Senor Management.
. Insert in tender/price request analysis the various quotes obtained from suppliers . Note comments regarding delivery, quality, service from supplier, , after sales services where applicable. This will help for the whole analysis.
Purchasing Action
. Place orders to selected supplier after having the proper authorization from senior management and end customer.
. Systematic follow up of orders. Keeping the tracking sheet up to date.
. Keep the Logistics Company informed of status of orders. Confirm pick-up location with vendors and follow up with Logistics Company until order has been delivered at warehouse. Includes shipping documents follow up.
. Prepare and submit the Follow up report to senior management on a weekly basis.
. Manage lead time and critical path.
Filing Procedures
. File all documents as per the company policy listed in the corresponding Manuel.
. Match Invoice versus Purchase Order and Delivery Note as per Policy Manuel for submission to Account Department.
Delivery/Installation
. Follow up installation schedule with installation team & suppliers
. Report any deficiencies, damages or concerns, such as variances from purchase order or I.D. specifications (wrong fabric, wrong color, wrong finish, wrong dimensions …etc) to end customer for immediate action and replacement if necessary.
. Prepare Installation file to be submitted to installation team
. Prepare Handing Over file for client
 
Profile:
. Able to work in a fast paced, challenging environment
. Excellent oral and written communication skills
. Knowledge of Quality standards
. Knowledge of contractual communication both written and oral in Procurement contracts.
. Ability to acquire through learning Negotiation skills
. Work experience in managing deadlines and critical paths
. Excellent computer skills and proficient in excel, word, outlook, Project management
. Demonstrated leadership skills and initiatives.
. Excellent interpersonal skills.
