The Project Administrator will coordinate project reports, expenses, meeting, manage all project administrative processes, document control and track project performance.

 

Duties

Ability to plan and gather information, coordinate, plan and schedule meetings.  Manage project records. Competent in the use of planning tools, and develop cross-functional Project plans. Works with cross functional stakeholders and build relationships. Assist in working with Subject Matter Experts to move Program/Project to conclusion. Demonstrates problem-solving skills and dealing with challenging stakeholder situations. Ability to effectively communicate across departments. Use a variety of communications methods to deliver information relevant to the audience and project needs. Ability to identify and manage risks in a project. Track project performance, specifically to analyze the successful completion of short and long term goals. Manage Project/Program delivery within the defined timeline. Define and report on project metrics. 

 

Duties also include:

  • Maintain an accurate and up-to-date project file
  • Scan/Attach all pertinent docs to Viewpoint (audits, forms, submittals, reports)
  • Assist PM in billing process (assist PM in obtaining proper paperwork prior to payment, monthly payment applications and retention payment.)
  • Route all Contracts to Project Controls Manager according to Procedure at Corporate;
  • Log, verify, and maintain all current subcontractor invoices and timelines
  • Required Skills:
  • Excellent planning, analytical, interpersonal and communication skills.
  • Demonstrated prior success with execution of projects preferred
  • Demonstrated strong skills with Microsoft Office, Excel, Microsoft Visio, Microsoft Project, and Adobe Acrobat.
  • Highly organized with outstanding attention to detail and a consistent dedication to resolving issues.
  • Calm and effective under pressure. Able to communicate professionally in high-stress Strong business acumen, including excellent written and verbal communication skills.

Requires strong analytical and problem-solving skills.
