The Procurement Officer is responsible for managing the procurement and purchasing activities for spare
parts and to maintain a positive relationship with suppliers, Freight Agents, and internal customers by evaluating the best supply options; timely delivery and cost effective.
RESPONSIBILITIES AND DUTIES
- Ensure adequate stock level by monitoring and maintaining spare sparts inventory levels to prevent stockouts and excess inventory.
- Liaise with Freight agents for shipping for pick-up.
- Liaise with local agents for clearing and with warehouse for the delivery of goods on a timely basis
- Maintain ERD (Estimate Receipt Date) accurately on ERP and update at each step.
- Claim any discrepancy/ damaged goods to supplier or insurance as per the claim procedure.
- Maintain accurate records of procurement activities, supplier agreements, pricing, and inventory levels.
- Generate reports on procurement metrics, such as cost savings, supplier performance, and inventory turnover
- Minimize obsolete stock by carrying monthly analysis of stock ageing, defining the action plan together with the sales force to promote clearance sales of aged/ obsolete stock.
- Send and reply to technical inquiries within 24hrs.
- Communicate availability and delays accurately to concerned stakeholders and to update information on ERP.
- Sourcing of OEM Parts
- Review and negotiate existing agreements with freight forwarders to optimize commercial terms.
- Manage relationships with suppliers and freight forwarders.
- Assist the Supply Chain Manager to select and develop new suppliers and freight forwarders.
- Negotiate and manage contract terms with suppliers to ensure value for money, quality standards and delivery terms with technical and operational input from stakeholders.
- Identify cost-saving opportunities, negotiate prices, and implement cost-effective procurement.

QUALIFICATIONS & EXPERIENCE
- At least High School Certificate or supply chain/procurement and/or equivalent combination of education and experience
- At least 5 years of relevant work experience; of which at least 2 years in similar job
- Experience in a dealership/basic automotive and equipment; its components and spare parts knowledge
- Languages: Written and spoken French and English
- Proven analytical background.
- Proficiency in Microsoft Office 365
- A driver’s license is an advantage.
