PERSONAL ASSISTANT TO THE GENERAL MANAGER
Main Duties and Responsibilities
- Maintain and update the General Manager agenda and assist in planning appointments, board meetings, conferences etc.
- Attend required meetings, draft minutes and circulate to all concerned parties
- Attend to incoming calls and redirect them where appropriate
- Handle and prioritize all outgoing or incoming correspondences
- Make travel arrangements for the General Manager & other Senior Managers
- Handle confidential documents ensuring that they remain secure
- Provide assistance in book-keeping
- Monitor office supplies and negotiate terms with suppliers
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Conduct research and prepare presentations or reports as assigned
- Perform these and other cognate duties
Qualifications, Skills and Experience
- Diploma or equivalent in business administration or relative field
- Proven experience as Personal Assistant or similar administrative role
- Proficient in MS Office
- In depth knowledge of office management
- Excellent organizational and time-management skills
- Outstanding communication skills
- Integrity and confidentiality
- Detail oriented
- Adhere to deadlines
