Operation Support Assistant (ABC Car Rental Ltd)

We are hiring an Operation Support Assistant to manage, coordinate and ensure the day to day operations at ABC Car Rental Ltd.

Job Responsibilities:

• Monitor and maintain the availability of rental vehicles.
• Ensure that vehicles are cleaned, fueled, and in good condition before being rented out.
• Handle customer reservations and manage booking schedules.
• Coordinate vehicle delivery and pick-up times.
• Communicate with customers to confirm reservations and provide necessary information
• Planning of shifts of Drivers & Rental Agent
• Plan for peak times and special events to ensure adequate vehicle availability.
• Address customer inquiries and resolve any issues or complaints.
• Assist customers with rental agreements and paperwork.
• Provide information about rental policies, insurance options, and vehicle features.
• Maintain accurate records of rental transactions, vehicle inventory, and maintenance schedules.
• Liaise with cleaning staff to ensure vehicles are ready for rental.
• Communicate with insurance companies regarding claims and coverage.
• Coordinate with external suppliers and partners for vehicle purchases and services.
• Keep updated with changes in rental policies and industry standards

Skills and Qualifications:

• Diploma/Degree in Management/Business administration
• Previous experience in a car rental agency or a related customer service role is advantageous.
• 3 – 5 years of relevant professional experience.
• Strong organizational and time-management skills.
• Excellent communication and customer service abilities.
• Proficiency in using fleet management software and other computer applications.
• Detail-oriented with strong analytical skills.
• Ability to work under pressure and handle multiple tasks simultaneously.
• Knowledge of vehicle maintenance and rental industry practices is a plus.
• Problem-solving skills to address and resolve customer and operational issues.
