Gamma Materials is looking for a motivated and dynamic Import Administrator to join its Procurement department.
Duties and Responsibilities
Your duties and responsibilities as Import Administrator shall include, but shall not be restricted to the following:
1. Processing of Import Orders
- To ensure import requests are properly filled-in and requirements clearly identified by operations before triggering import processes.
- To ensure justifications are properly filled in before processing import requests.
- To ensure obsolescence and on-hand quantities of inventory items are monitored before processing import requests.
- To timeliness, completeness and accuracy of import transactions.
2. Dealing with Suppliers
- To liaise with foreign suppliers for pro-forma invoices, order acknowledgement, order confirmations, commercial invoices and payment confirmations.
- To negotiate terms and conditions with foreign suppliers.
- To develop a working relationship with the representative of foreign suppliers.
3. Compliance and Reporting
- To assist the Accounts department in foreign currencies needs forecasting and payments.
- To ensure all import transactions comply to legal obligations.
- To update and maintain “Import Status report” with relevant transactions details for ease of reference, reporting and orders follow-ups.
- To coordinate with audit teams and local authorities for custom queries.
- To submit regular import transactions reports to the Procurement Manager.
- To submit Purchase Analysis as and when required.
4. Control and Monitoring of Database
- To evaluate and process all requests for item creations and amendments in Oracle items Master List.
- To submit monthly Items and Supplier creation / amendments reports to the Procurement Manager.
- To create new foreign suppliers on the system.
5. Procurement
- To assist the Procurement Manager in identifying and implementing cost saving initiatives.
- To assist local Buyer in his daily operations whenever deemed necessary by the Procurement Manager;
- To prepare biding specifications and offer comparison for major purchases.
Qualifications
- HSC
- Diploma in Purchasing, supply chain or CIPS
- Relevant experience in a similar position

- Sound knowledge of MS Office
- Ability to work under pressure and meet deadlines.
- Meticulous and attentive to details
- Good communication skills
- Good team player
- Willing to work at odd hours.
