Reporting to the Human Resources Manager, the HR Executive will assist in the Recruitment process, payroll computation, disciplinary procedures and Performance Review
Academic / Technical / Professional Qualifications:
- Diploma holder in Human Resources Management or related fields
- Minimum of 2 years Human Resources experience at supervisory level, preferably in the luxury setting
- Proven experience of good leadership skills, problem solving and interpersonal skills
- A strong understanding of labour and employment law
- Strong verbal and written communication skills (English and French)
- Analytical Skills
- Highly IT conversant including Microsoft Office / Attendance Software / Sicorax (HRMS)
- Work with accuracy and attention to details
- Organise and prioritise a variety of tasks/ projects
- Work within strict time frames and resolute deadlines
KEY RESPONSIBILITIES (which is not exhaustive):
- Perform Human Resources Administrative duties.
- Maintain the Human Resources Filing System in the most efficient and effective manner at all times
- Supervise subordinates (HR Officer/s or other members of the HR team) in the planning, scheduling, and coordination of department activities; research, revise and develop policies, procedures and ensuring timely updating of employees data in the employees files and ensure legislative and labour laws compliance.
- Assist in maintaining the hotel department’s organization and operations by participating in the recruitment process including, but not limited to, job screening, testing, reference checks and interviewing, counseling managers on candidate/s selections.
- Assist in the computation of Overtime and Attendance in the monthly payroll as per established process and procedures and in compliance with the labour laws.
- Ensure that all the required documents are set for payroll computation and are filed efficiently and effectively, including required signatures from all concerned.
- Be responsible to ensure that Roster and Attendance Management/Computation for all departments is done in a timely manner on a weekly basis, so that the data is available on due date, at all times, for weekly overtime computation and weekly payroll forecasting.
- Plan and send monthly payroll calendar to the Finance Department
- Perform detailed analysis and checks over Overtime Computation, Attendance records computation and Payroll Deductions before sending Payroll Reports for Temporary Run and Final Run, effectively and efficiently.
- Compute and process Payroll related reports as per established procedure and of high standard in the most timely manner.
- Assist the HR Manager in coaching Supervisors and employees in general on handling and resolving performance issues in the hotel as per labour law.
- Assist Management in implementing and maintaining the performance appraisal review system
- Supervise the Welfare Committee, under the direction of the HR Manager, lead the committee and oversee employees welfare related events, maintaining Employees Engagement and Satisfaction high.
- Anticipate and address employee relations matters, respond timely to employee inquiries and is proactive in promoting team member satisfaction
- Assist in the Occupational Health and Safety Committee and any Health and Quality Audits, and highlight to Management any queries, complaints, recommendation and do appropriate follow up timely.
- Attend to and organize, as and when required, all scheduled meetings and contribute actively with proper preparation as and when required
- Supervise the Focus HR Audit which relates mainly to HR Administration and Payroll Computation and ensure the best results and maintain same.
- Lead and participate in HR/Learning and Development projects as and when required.
- Ensure that Confidentiality is maintained within the HR Department at all times
- Assess problem situations to identify causes, gather and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem.
- Assist Learning and Development Executive in conducting Induction Training for ambassadors
