Responsible for greeting guests, handle payment transactions, answer phone calls, and assist with guest inquiries.
Duties and Responsibilities of the Front Office Assistant :
- To communicate with all guests and employees in a professional and courteous manner at all time.
- Respond to guests' requests, complaints in a professional manner at all times and record all relevant information in our system.
- Assist with administrative and clerical tasks as needed.
- Constantly check the handover, memo file and ensure checklists are completed at the end of your shift.
- Ensure that procedures for rooming are being adhered to.
- Ensure all special requests on the arrival list are being actionned and followed up.
- Verify that all registration cards and keys have been prepared for the day.
- Ensure that upon arrival, information on guest’s voucher matches the one in our reservation system.
- Ensure that cash box and float are properly handed over by adhering the correct procedures and policies.
- Assist guest with foreign exchange by adhering the hotel policies.
- Posting and filling of all manual bills.
- Prepare the registration card for the next day.
- Verify / print / attach with departure letter the bill for the next day departure.
- Ensure that messages are delivered to guests on time.
- Constantly liaise with all the other departments to ensure smooth running of the operations.
- Sorting and filling of guests' bills from the other outlets.
Candidate's profile:
- Hotel School NTC3 in Front Office is an advantage. Other similar qualifications will be considered.
- Communicate fluently in French and English, both oral and written.
- Minimum 2 years of experience will be an advantage.
- Team oriented.
