Adecco is an International HR and Consultancy firm. Our client, an international telecommunication company, is looking for an Executive Assistant.

 

Our client, an international telecommunication company, is looking for an Executive Assistant.

Reporting to the Managers, the successful candidate will be responsible to assist operations, sales, solutions and Finance departments in sales reporting, travel arrangements, revising invoices and quotations other Administrative duties.

Main responsibilities:

REPORTING

  • Collect and summarise information and data from reports and plans; analyse and highlight important issues
  • and follow up on action points.
  • Collect, collate and submit weekly, monthly, quarterly and adhoc reports as instructed by given deadlines.
  • To collate and submit sales related information to the Manager for quarterly reporting.

TRAVEL ARRANGEMENTS

  • Plan and organise the travel / workshops meetings & Training for the employees.
  • Liaise with employees to obtain the requirements for travel including budget, dates of travel, hotel, visas.
  • Request quotations from Hotels, travel agencies, Airlines, compare prices and book for travel and accommodation.
  • Prepare a travel schedule and email to the employee prior his/ her travel.
  • Verify visa requirements for employees & liaise with Consulate and embassies to apply for visas.
  • Follow up with Express courier for visas, driving licences & passport renewal.
  • Arrange airport transfers (pick up and drop offs).

GENERAL

  • Review and approve all invoices & quotations issued by the Operations Department.
  • Complete all customer and supplier registration forms and compile all relevant documentation as requested.
  • Take action any Projects as assigned by the COO, CFO, Heads of Departments and CEO.
  • Act as back up for the receptionist.

Qualification:

  • High School Certificate.
  • Administration Diploma or Degree preferable.
  • 3 to 5 years in an administrative role.

Candidate profile:

  • Knowledge in Accounting;
  • Working knowledge of an Accounting package preferable
  • Strong Reporting skills;
  • Strong Working knowledge of Microsoft Office and Advanced skills - Word, Excel MS Outlook/Powerpoint;
  • Excellent communication and interpersonal skills including demonstrated experience in liaising with employees & clients;
  • Fluent in English and French (preferably English mother tong);
  • Self-motivated / proactive, initiatives taker, independent worker who is a strong team player;
  • Good Time Management skills and excellent organisational skills;
  • Ability to write sales reports including charts and statistics;
  • Attention to detail and accuracy;
  • Problem solving ability;
  • Numerical skills;
  • Takes instruction well.
