We are currently seeking to hire an Executive Assistant to provide a comprehensive, efficient and high level Executive Assistant service to designated members of the Senior Management Team.

 

Key Responsibilities
  • Undertake a range of duties in support of the Senior Management Team
  • Deal with incoming and outgoing communications, prioritising and redirecting as necessary and draft responses on behalf of the Heads of School.
  • Provide full diary management for the Principal, including scheduling of meetings and planning time to ensure the most effective use of their day.
  • Support the Heads of School with regular and ad hoc projects in relation to their area(s) of responsibility, taking an active part in the work.
  • Undertake research and information gathering on behalf of SMT to support with preparation of reports and presentations for the Board of Directors.
  • Arrange and attend meetings.  Prepare agendas, obtain and circulate reports and presentations and take minutes, when/where requested.
  • Produce letters/templates/spreadsheets/documentation, as required.
  • Organise and plan events, including sourcing venues and arranging catering.
  • Maintain filing systems (both electronic and paper).
  • Filter telephone calls and respond to telephone enquiries on behalf of Heads of school and the other members of the Senior Management Team.
  • Co-ordinate travel and accommodation arrangements, as required.
  • Receive and extend hospitality to visitors on behalf of members of the Senior Management Team.
  • Handle confidential information sensitively and with discretion.
  • Work with other members of the Administration team to continuously improve processes and ways of working.
  • Work in a flexible manner to respond to changes in demands to workload and in order to meet tight deadlines.
  • Promote a positive image of the School and the work that is carried out across its various services.
  • Comply with all legislative and regulatory requirements.
  • Carry out any other reasonable duties within the overall function.
  • Take an active role in the health, safety and welfare of students and staff, attending training and carrying out health and safety related activities as appropriate to the role.

Educational Background:

  • A level or a Diploma in Management
  • Secretarial studies
  • Excel 

Knowledge:

  • Proven experience as an Executive Assistant/PA supporting at a senior level
  • Experience of servicing meetings, including accurate minute taking
  • Experience of working effectively as a member of a team and supporting colleagues to meet workload demands and deadlines
  • Experience in dealing with confidential issues and paperwork
