Assist the Legal Corporate Secretarial and Compliance teams in ensuring legal and regulatory compliance for a geographically diverse group of companies.

 

Key Responsibilities

  • Provide organizational and administrative support to the Legal Corporate Secretarial and Compliance teams.
  • Assist in obtaining and maintaining licenses for the Group’s services and products.
  • Maintain official documents, such as seals, records of issued shares, corporate bylaws, and minutes of meetings.
  • Ensure timely maintenance of business licenses.
  • Maintain relevant records in databases.
  • Organize in-house legal meetings and manage overseas courier services.
  • Keep records of legacy cases and technical forms.

Primary Objectives

  • Manage board and shareholder meetings, including preparing and distributing materials, agendas, notifications, and minutes.
  • Assist in reporting outstanding agenda items and preparing standard correspondences.
  • Coordinate annual shareholders and other meetings.
  • Maintain key corporate documents and records.
  • Assist in renewing standard power of attorneys, KYC records, and due diligence documentation.

Required Skills and Knowledge

  • Corporate governance practices and laws in multinational corporations.
  • Project management and innovative solutions for corporate governance functions.
  • Detailed understanding of Company Law, regulations, and best practices.

Required Competencies

  • Customer focus, attention to detail, action-oriented, composure, functional/technical skills, drive for results, priority setting, problem-solving, and written communications.

Required Qualifications

  • Fluent in Microsoft Office applications.
  • School Certificate/Higher School Certificate or Diploma in Secretarial services is an advantage.

Required Languages

  • Proficiency in written and oral English with basic drafting and communication skills.
