Our client, in the building and civil engineering sector, is looking for a Confidential Secretary.
The successful candidate will be responsible to provide high level administrative assistance to CEO.
Main responsibilities:
- Preforms a variety of administrative support tasks that are highly confidential and sensitive.
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Takes dictation from rough notes or outlines and provides final copy with edits and corrections
- Initiates and proofs correspondence.
- Composes draft correspondence, memoranda and other written materials.
- Prepares and assists in the preparation of reports, recommendations and other written materials by researching information, compiling and organizing content and by performing or coordinating work essential to its preparation.
- Develops and prepares or directs the preparation of agenda and notices of meetings and other information for committees, boards and other groups.
- Identifies and combines related documents and correspondence and may have authority to make decisions on records maintenance.
- Initiates independent correspondence with little direction or review.
- Answers and screens telephone calls and emails.
- Maintains appointment calendar schedules meetings, and coordinates travel arrangements under CEO’S guidelines.
- May review and manage incoming mail with responsibility for sorting, screening and routing.
- May facilitate conference room set up for meetings.
- May act as a lead secretary, providing direction to clerical personnel on specific assignment.
- To take messages and facilitate the process of communication between the relevant stakeholders and management.
- May manage various projects as assigned.
Qualification:
- HSC and Diploma or Equivalent.
- 3 to 5 years at a similar post.
Candidate profile:
- Possess strong interpersonal skills;
- Exercise discretion and a high level of confidentiality;
- Demonstrate excellent written and verbal communication skills;
- Able to work under pressure;
- Possess strong organization and time management skills;
- Have relevant office/computer skills to use software programs (Microsoft Word, Excel, Outlook, and PowerPoint).
