Emcar Motorcycles is looking for a dynamic and passionate Administrative Assistant to assist in the daily operations
Job Responsibilities:
Administrative Duties
- Provide support to the BV Showroom administrative duties contributing towards achieving and exceeding sales targets.
- Perform all administrative tasks associated with the position in accordance with the company’s policies and procedures.
- Prepare documents for resellers' registration purposes.
- Responsible for all registration duties including the daily check of frames, models, names, National ID and addresses.
- Create business partner codes on SAP for resellers' customers.
- Issue invoices for resellers.
- Prepare a dispatch book for resellers as well as for other companies and institutions.
- Fill envelopes with sales agreements, invoices, service documents, road tax, insurance vignettes and delivery notes.
- Answer phone calls and assist customers.
- Perform transfers on SAP as needed.
- Monitor the allocation of frames on SAP for the Sales Representative and branches.
- Register complaints on SAP when necessary.
- Liase with all internal and external customers in a highly professional and courteous manner whilst providing an excellent customer service.
- Assist the Outdoor Sales Executive with a variety of administrative duties delivered on time and to a high standard of quality and accuracy of work.
- Responsible of any frame allocation request and ensure a good follow up of all reservations done
- Call activity - verification of satisfaction of clients - to call each Customer (Reseller) after one week of delivery (re explain after sale services)
Support Showroom Operations
- Provide coverage in the showroom as needed and deliver a high standard of customer service to customers.
- Prepare invoices and perform transfers for the showroom as required.
- Participate in product displays and labelling in the showroom (Consignment).
- Stay up to date with development in existing and new products within the industry and share relevant findings with the team.
- Participate in all events organised by the business unit during both weekdays and weekends.
- Update customer databases and follow up on sales opportunities on SAP software according to Management's requirements.
Training, Learning & Development
- Participate in any Learning & Development opportunities offered by the company.
Others
- Perform all duties strictly in line with the company’s policies and procedures, and on the designated systems.
- Perform any other cognate duties as may be assigned by Management.
Qualification & Experience:
- HSC or equivalent
- Certificate in Administrative / Clerical or other related function
- At least 3 years experience in a similar role in a fast paced environment
- Excellent communication skills both verbal and written
- Good IT skills (Microsoft Office) and knowledge of SAP Business One would be an added advantage
- Pleasant and outgoing personality
- Ready to work odd hours if needed
