Myjob.mu is recruiting for one of his client an Administrative Assistant in the region of Black River.

 

The Administrative Assistant will have to help the director with various administrative items to allow him to focus on advancing & finishing his projects. The assistant will be the director's right hand man/woman and will be  detrimental to the day runnings of the company.

RESPONSIBILITIES:

1. Organise & update the weekly schedule:

- Set up meetings

- Set deadlines & follow up on progress

- Follow up with suppliers

2. Communicate with clients:

- Reply to incoming communications in a timely manner

- Receive and make phone calls

- Updates clients in case of changes in schedule

3. Accompanying & assisting director on meetings:

- Take down notes during meeting

- Write effective, detailed & well formatted meeting minutes

- Send meeting minutes to all concerned parties after meeting

- Prepare quotes based on meeting notes

4. Taking care of administrative tasks:

- Pay bills & suppliers (prepare the cheques)

- Go to the bank to deposit cheques from clients

- Collect or drop documents/cheques from clients & suppliers

- Shop for office suppliers (coffee, printer toner, paper, enveloppes, etc...)

- Do the follow up on unpaid bills with clients

5. Re-organise (once) and maintain a filling system:

- Total re-organisation of physical and soft copies of documents for ease of access

- Total re-organisation of files on file server for ease of access

- Setup of e-filling system (the filling process will be provided)

 

QUALIFICATIONS:

1. Good organizational skills

2. Be fluent in both French and English (Good written and spoken skills)

3. Computer literate

4. Holds a valid driving license
