The Administrative Assistant will provide administrative and secretarial support for the proper functioning of the office.

 

Main Duties & Responsiblities

  • Channel and process correspondences in a confidential manner.Attend to visitors and follow-up in an efficient and timely manner.
  • Follow-up on agendas and ensure pending items are addressed.
  • Prepare meeting invites and ensure meeting rooms are booked as per agenda.
  • Take and draft minutes of meetings.
  • Ensure secretarial support is provided – all bookings including for example, meals, servicing/ repairs of vehicles, conferences, seminars, training, flights and accommodation.
  • Provide administrative support in facilities and services.
  • Issue Purchase Requests (PRs) and follow up on Purchase Orders (POs).
  • Prepare invoices on the ERP and liaise with Clients.
  • Update KPIs.
  • Prepare reports in a timely manner.
  • Ensure proper filing of all documents.

  • Excellent organisational skills to plan, proritise and meet deadlines.
  • Dynamic, result-oriented, analytical skills, proactive and detail-oriented.
  • Good IT skills.

Qualifications

  • Higher School Certificate (HSC)/ Baccalaureate or any equivalent qualification.
  • At least five (5) years' relevant work experience.
