Our client in the property sector is seeking to recruit an Administrative Support Assistant. The incumbent will be responsible for handling all office administrative and will act as a personal assistant to the Services Manager.
Responsibilities:
Administration:
- Ensure timely preparation and completion of service contracts.
- Maintain and update the contract register on a monthly basis.
- Prepare and maintain the quotation schedule for deep cleaning, pest control, and garden maintenance.
- Ensure that accurate invoices are sent to clients on time.
- Record, verify, coordinate delivery, update the invoice schedule, and submit reports to the Accounts Department.
- Compile a summary for the Accounts Department.
Filing & Key Coordination:
- Filing of emails on SharePoint and other documents for the Services department.
- Control and distribute keys to employees and external partners.
- Ensure that disclaimer forms are completed upon key handover to external partners.
- Maintain and monitor the key logbook.
- Perform other administrative duties as required.
- Provide support to other departments when necessary.
Profile:
- HSC qualification, with additional training in Secretarial or Administrative duties.
- Basic accounting knowledge.
- Proficiency in Microsoft Word and Excel (Intermediate level).
- Experience with Sage Pastel is an advantage.
- Fluent in both written and spoken English and French.
- Strong team player with a positive attitude.
