Leal Communications and Informatics Ltd is currently looking for an Administrative Officer to join its dynamic team of professionals.
The Administrative Officer will be responsible for providing administrative and clerical services to ensure effective and efficient administrative operations.
Responsibilities:
- To do follow – up on imports.
- Responsible for warranty and non – warranty clearance.
- To request quote from freight forwarder for the import or export of goods.
- To claim for missing products and process insurance.
- To do follow – up for PI.
- Responsible for clearance of goods.
- Process Type approval for ICTA.
- To prepare Purchase Orders.
- To check procurement website.
- To check newspapers for tender .
- Responsible to provide template for letters.
- To prepare monthly Purchase Orders.
- To manage LCI meeting rooms.
- To manage and maintain proper control over Petty Cash activities.
- To order and send bouquet for mortality and maternity on behalf of LCI.
- To ensure that all cheques are despatched and relevant documents are signed by client or receiver.
- To prepare and issue credit Memo
- To always perform and maintain proper filing.
- To handle phone calls
- Responsible for the follow – up of orders
- To prepare reports on a weekly basis and same to be communicated to all Managers, the COO, and IT Cluster Director.
- To carry out weekly customer surveys
- To ensure that the Complaint register is updated daily
To perform any other related administrative duties as and when requested by the head of department and wherever possible.
Qualifications & Competencies:
- Bachelor’s Degree in Business Administration or any equivalent qualification
- At least 5 years’ experience in a similar position
- Excellent IT skills including advanced knowledge of word processing, spreadsheet and presentation software packages, preferably Microsoft Word, Excel and PowerPoint
- Ability to assimilate written and verbal communication quickly, draw conclusions and make appropriate responses.
- Excellent attention to detail, with the ability to maintain a high level of accuracy whilst working at pace.
- Ability to work under pressure, meet tight deadlines and manage competing priorities on own initiative.
- Ability to produce a high standard of written correspondence.
- Ability to deal with sensitive information and to maintain confidentiality at all time.
- Excellent team working skills with the ability to work collaboratively and co-operatively with colleagues
- Exceptional interpersonal skills with an articulate, confident and diplomatic approach to communications and tact and discretion when dealing with sensitive issues.
